The Office Assistant provides administrative support to all departments within Mortgage Services while maintaining the office environment by fulfilling banking, stocking inventory and various tasks set out.

Requirements

  • This is an entry level position.
  • The ideal candidate must possess a high school diploma or equivalent (GED).
  • Knowledge of Word and Excel are required.
  • Ability to work under pressure and multi-task.
  • Highly organized with business maturity, discretion, enthusiasm, and a positive attitude.
  • Ability to follow directions.

Responsibilities

  • Daily, the incumbent will be responsible for all the general filing/scanning for the Mortgage Services departments (15%).
  • Daily, the incumbent will distribute incoming mail between departments (25%).
  • Daily, the incumbent will pick up cheques every morning from TD bank for HELOC and bring the daily banking to TD for the department on a timely manner (few times a day). The incumbent must ensure all cheques that are logged are accounted for and distribute them accordingly (35%).
  • On a monthly basis, the incumbent will assist each department with any “special projects” (file copying, preparing letters for clients, internal moves, stuffing envelopes for departments) and any other job assigned by management (25%).
