About The Position

The Office Assistant helps with day-to-day administrative duties. This role involves collecting rent payments to maintain low delinquencies, assisting with sales, leases, and rentals under the direction of the Community Manager (CM)/District Manager (DM), including paperwork completion and customer follow-up. The assistant also helps resolve guest concerns as directed by the CM/DM. Key responsibilities include representing the company positively, ensuring high resident satisfaction, communicating with maintenance staff, inspecting the community for cleanliness and rule adherence, inspecting vacant homes, and preparing resident documents accurately. The role requires regular reporting using Saratoga Group software platforms and effective communication with internal and external partners. The employee must devote all working time to the company's interests, maintain regular attendance, and perform other assigned duties. This position is a temporary assignment with an expected duration of 6-8 weeks.

Requirements

  • Must be able to work up to 40 hrs per week
  • Capable of pushing, pulling or lifting up to 25+ lbs.
  • Occasionally required to climb, kneel, crouch, bend or crawl.
  • Being outside/walking across communities in various weather conditions, on foot for an extended period of time, walking up and down stairs, climbing ladder.

Responsibilities

  • Collect rent payments to maintain low delinquencies.
  • Assist with sales, leases, and rentals through direction from the Community Manager (CM)/District Manager (DM), to include completion of paperwork and follow-up communication to customers.
  • Resolve guest concerns through direction of the CM/DM.
  • Represent the company in a positive manner to clients, residents, partners, and employees.
  • Ensure high resident satisfaction and resolve guest concerns professionally, escalating to Community Manager/District Manager when necessary, and always informing the CM/DM of any issues.
  • Communicate with maintenance staff on behalf of the CM/DM as instructed.
  • Inspect the community, ensuring highest standards are maintained, ensuring residents are following the park rules, the community is kept clean, and ensure residents are keeping their respective properties clean.
  • Inspect vacant homes as requested.
  • Ensure all resident documents are executed timely and accurately for pad rentals, lease to own, rentals, and for community rules.
  • Effectively communicate with everyone in the organization and with external partners, both verbally and in writing.
  • Maintain regular and predictable attendance.
  • Perform other duties as are customarily performed by other persons in similar positions, as well as such other duties as may be assigned from time to time by the Employer.
