About The Position

The Department of Library and Recreation Services is seeking qualified individuals interested in working for the Recreation Services Division. The Casual Office Assistant will be stationed at either the Columbia Neighborhood Center, Senior Center or Recreation Center and assist with answering inquiries, registration, booking facilities and other assignments as needed.

Requirements

  • Graduation from high school or tested equivalent
  • One year of responsible clerical experience.
  • Proper English usage, grammar, punctuation and spelling.
  • Alpha numeric filing and retrieval systems
  • Office methods, procedures, software and equipment.
  • Principles and practices of customer service.
  • Business letter writing and report preparation.
  • Perform routine business mathematical calculations.
  • Sort and categorize materials.
  • Read and interpret forms.
  • Operate a computer using word processing and business software and other office equipment.
  • Compose general correspondence and letters and take meeting minutes.
  • Develops and maintains filing systems.
  • Compose general correspondence, letters and takes meeting minutes.
  • Learn the operation, policy and procedures of the assigned department.
  • Understand and follow written and oral instructions.
  • Communicate effectively, orally and in writing.
  • Establish and maintain and promote positive and effective working relationships with employees, and other agencies and the public.
  • Demonstrate initiative and exercise good judgment in the performance of duties.
  • Work independently and as a team member; recognize and set priorities to meet deadlines.
  • Observe safety principles and work in a safe manner.
  • Possession and continued maintenance of a valid class C California driver's license or the ability to provide alternate transportation as approved by the appointing authority and a safe driving record.

Nice To Haves

  • Bilingual in Spanish, Mandarin or Farsi
  • Experience working directly with the public in a recreation or education setting
  • Experience with Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook)

Responsibilities

  • Provide excellent customer service, relating to a wide variety of people, situations, and experiences
  • Answers inquiries and gives out information concerning standards, procedures and programs
  • Assists the public with reserving and renting City facilities; registers customers for classes
  • Maintain sensitive records and process paperwork in an accurate and timely manner
  • Checks forms, records, reports and other materials for accuracy, completeness and confirmation with established procedures
  • Assists with maintaining office supply inventory.
  • Prepares data for computer input and checks output
  • Searches records to obtain information
  • Ability to adequately retrieve, count, deposit and reconcile cash transactions
  • Other duties as assigned

Benefits

  • Casual non-benefited employees are limited to working no more than twenty-five (25) hours per week and no more than 900 hours in a fiscal year (July 1-June 30).
  • Seasonal non-benefited employees are limited to working no more than six (6) consecutive months and no more than 900 hours in a fiscal year (July 1 -June 30).
