About The Position

Incumbent is responsible for handling all assigned clerical duties for the Wildlife Resource Management Program. Will maintain project and chronological filing system. Will post invoices to a computerized cuff account system on a regular basis, posting to bi-weekly wage sheet and individual leave audit forms for Wildlife employees. Will prepare financial documents which include purchase orders, and journal entries. Assist with time in the Isolved system. Will process payroll actions forms and grant and contract documents for processing. Will inform Manager, and supervisors of employee performance evaluations deadlines. Incumbent will be responsible for planning workloads to meet timelines. Employee will be responsible to answer, direct or forward general phone inquiries in a professional and courteous manner. Will keep a daily log in and out sheet of program documents.

Requirements

  • Knowledge of general office principles, practices and techniques.
  • Knowledge of basic bookkeeping methods and techniques.
  • Knowledge of accounting principles, concepts and terms.
  • Knowledge of business math.
  • Knowledge of correct and effective use of English grammar.
  • Ability to learn the specialized terminology associated with the Wildlife Program.
  • Ability to establish and maintain effective working relationships with other employees, general public and other agencies and businesses.
  • Ability to express ideas clearly and concisely orally and in writing.
  • Ability to perform typing, computer input and bookkeeping at an acceptable level of proficiency.
  • Ability to adhere and maintain strict confidentiality.
  • Ability to follow and understand oral and written instructions.
  • Ability to work in a team setting.
  • Ability to communicate effectively.
  • High school diploma or GED equivalent.
  • At least one year progressively responsible secretarial or general office work experience at a level equivalent to an Office Assistant III.
  • OR May substitute on a month for month basis upon successful completion of course work or training in office principles and practices for a minimum of six months.
  • Required to pass a pre-employment drug test.

Responsibilities

  • Provides general clerical support services for all program personnel.
  • Prepares rough drafts of memorandums, letters, and quarterly reports for supervisor signature.
  • Prepares payroll actions, leave audits, timesheets, payroll registers, personnel files, Chrono files, general office files, purchase orders, and journal entries.
  • Keeps all files current.
  • Prepares vendor payments into the D365 payment system.
  • Responsible for mail pick up, delivery, sorting, stamping, and distribution.
  • Responds to personal, telephone, or written inquiries of citizens and government officials, exercising judgment in the release of information.
  • Maintains confidentiality of program records and activities.
  • Ensures the efficiency of day-to-day operations of the office.
  • Supports the work of management and other staff.
  • Follows up on submitted documents to Administration and Tribal Council.
  • Files incomplete Committee Actions and memos in a hold folder.
  • Performs other duties as assigned.
