About The Position

Under general supervision, performs moderately complex and semi-specialized clerical support duties. This role involves a variety of tasks to support the General Services Department, including typing, composing correspondence, transcribing information, proofreading, data entry, filing, record maintenance, and assisting with general inquiries. The position also requires operating office equipment and sorting mail. Additionally, the Office Assistant II may be responsible for scheduling, training, and instructing new clerical employees.

Requirements

  • High School graduation or GED with courses in typing, keyboarding, word processing, and office management or business related subjects.
  • One (1) years of recent office experience performing moderately complex clerical and office work.
  • One (1) year of experience in typing and performing general office work.
  • Knowledge of office work, terms and equipment.
  • Knowledge of standard document formats and English usage in business correspondence.
  • Knowledge of standard office database and spreadsheet software.
  • Skill in typing with speed and accuracy.
  • Skill in filing and file maintenance.
  • Skill in recording and transcribing with speed and accuracy.
  • Skill in use of personal computers and common office software.
  • Skill in performing arithmetic computations with accuracy.
  • Ability to draft original non-routine documents.
  • Ability to organize and prioritize work.
  • Ability to communicate effectively orally and in writing with tact and diplomacy.
  • Ability to preserve confidentiality and discern what is confidential.

Nice To Haves

  • Completion of courses in typing and word processing preferred.

Responsibilities

  • Types from rough draft correspondence and reports.
  • Composes routine and standardized correspondence.
  • Transcribes and records case histories, investigations and departmental communications.
  • Proofreads and checks work for accuracy.
  • Assembles data and information and enters into defined tabular format.
  • Performs routine filing of correspondence, records and reports.
  • Assists in maintaining records in databases, spreadsheets and logs.
  • Prepares and checks papers and records.
  • Analyzes, classifies and files material of a routine nature.
  • Screens telephone calls and visitors and assists with general inquiries.
  • Operates computers, copying machines and other office equipment.
  • Sorts and distributes mail.
  • Schedules work for, trains and instructs new clerical employees.
