Greets and directs visitors to the proper location within the department. Responds to telephone inquiries and/or routes to appropriate person or division. Assists with typing correspondence, letters, and reports for department. Maintains office inventory and equipment by anticipating supply needs and expediting supply orders. Receives incoming deliveries and sort supplies in appropriate places and notify appropriate programs of deliveries. Assists with maintaining employee’s files as required. Notarizes documents for department and outside agencies, as needed. Collect monies and balances collections. Assists and respond to verbal and written requests for information. Assists co-workers and staff members with duties. Provide routine filing and routing of documents. Assists with reporting TCOLE hours for training held at the Academy. Assist with maintaining the Academy website. Assist with special projects assignments as needed. Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.

Requirements

  • High School Diploma/GED
  • 1-year job related experience in an office environment.
  • Valid Texas Driver’s License
  • U.S. Citizen or U.S. Permanent Resident
  • Good computer and typing skills; knowledge of computer applications; skilled in data entry, intermediate working knowledge of Microsoft Office Suite or similar software, and Applicant Tracking Software systems.
  • Good verbal and written communication skills
  • Ability to interact and deal effectively with the public and all levels of employees
  • Strong interpersonal and organizational skills
  • Ability to complete assigned tasks within tight deadline and to prioritize own work
  • Ability to interpret policies and to implement procedures.
  • The ability to manage sensitive and confidential matters is required.
  • Ability to work in a high customer contact area.
