Requirements

  • High School Diploma/GED.
  • 3 years of job-related experience.
  • Strong computer and typing skills (minimum 35 WPM).
  • Verbal and written communication skills.
  • Strong interpersonal skills and ability to deal effectively with the public, other employees, and elected officials.
  • Ability to prioritize work and complete assigned tasks within tight deadlines.
  • Strong organizational-scheduling, records management, and language skills.

Nice To Haves

  • One year of secretarial/business school preferred.

Responsibilities

  • Responds to and screens telephone calls; answers inquiries or refers to the proper person.
  • Receives, maintains, and confirms academy course reservations; serves as registrar for in-service training.
  • Prepares, distributes, and verifies documents and inputs them into the computer database.
  • Notarizes documents for the department and outside agencies, as needed.
  • Prepares class documents using Google Drive.
  • Maintains employee records and files on outside training.
  • Prepares payroll for assigned departments.
  • Prepares and provides monthly reports.
  • Records minutes for Advisory Board Meetings.
  • Collects and deposits tuition receipts; collects fees and makes change; reconciles and balances money accounts.
  • Maintains inventory and requisitions supplies, orders office supplies.
  • Prepares all copy work and visual aids for training courses.
  • Prepares and distributes quarterly training calendar, coordinates instructors for in-service training.
  • Updates training and education information with the Texas Commission on Law Enforcement Officer Standards and Education (TCOLE).
  • Administers TCOLE Licensing Exam.
  • Administers entry-level testing for Academy applicants.
  • Coordinates Basic Peace Officer Certification graduation activities.
  • Coordinates TCOLE exam dates for Basic Peace Officer and Jailers Certification.
  • Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
