About The Position

The Community Corrections Division is seeking to fill a full-time, permanent Office Assistant (OA3) vacancy at the West Seattle Field Office. This position performs file management and routine, advanced clerical support tasks for the Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs). The role involves working independently on complex clerical projects and assignments, as well as performing reception desk duties. Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical and/or customer service experience.
  • Basic level of proficiency and knowledge of Microsoft Office products to include Word, Outlook, and Excel.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.
  • Ability to proofread written material, identify and correct errors in sentence structure, grammar and punctuation.
  • Ability to communicate effectively and clearly to staff, S/Is, public, and stakeholders.

Nice To Haves

  • Two years of clerical experience to include a basic level of proficiency and knowledge of Microsoft Outlook, Word, and Excel.

Responsibilities

  • Provide front desk reception.
  • Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
  • Manage a multi-line phone system.
  • Ensure the public entry door is opened at 8:00 am and closed and locked at 5:00 pm.
  • Manage and maintain electronic and physical files.
  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Archive closed DOC field files.
  • Prepare supervised individual's (S/I's) ID letters and submit them to the Department of Licensing.
  • Schedule vehicle maintenance and input monthly mileage.
  • Respond to requests for information from CCOs and CCS.
  • Manage lobby flyers and resources.
  • Other duties as assigned.
