About The Position

This position will report in office five days a week to the Chambers Creek Wastewater Treatment Plant. In this role, you will provide comprehensive administrative support across multiple operational areas within Sewer & Water Utilities. Your responsibilities include coordinating staff communications, preparing letters and correspondence, managing shared email inboxes, and overseeing inventory, supply orders, and room scheduling. You will also support onsite building administration by triaging and submitting CSRs, distributing building communications, and managing gate and door access. Additionally, you will coordinate travel and training by preparing Spend Authorizations, Expense Claims, Purchase Orders, process invoices and PCARD verifications, as well as managing registrations, licenses, certifications, and driver abstracts. You will also support the SoundGro Fertilizer order processing. Hiring support duties include scheduling interviews, reserving rooms, assisting with process tasks, and greeting candidates. Your proficiency in Workday, Excel, and Word will be essential to these functions, and your experience will contribute significantly to the growth and success of the team. This position will report in office five days a week to the Chambers Creek Wastewater Treatment Plant. Requirements

  • Two or more years of progressively responsible clerical experience or administrative program support work.
  • Proficiency in Workday, Excel, and Word.
  • A resume and cover letter are required for this position.
  • Applicant will need to authorize and complete a background check.

Responsibilities

  • Perform lead functions such as setting priorities; distributing and checking work; devising and evaluating office procedures and implementing changes subject to approval of supervisor; providing technical assistance as needed; resolving minor work and personnel problems; and providing input on performance evaluations.
  • Coordinate related office functions; assist in procedure development; perform duties of a highly confidential nature; may conduct research activities.
  • Manage and maintain logs, charts, spreadsheets, related data and files related to the division.
  • Receive and process forms and applications.
  • Perform ongoing monitoring of program compliance.
  • Explain, interpret and apply complex rules and procedures having division impact.
  • Coordinate purchasing functions, such as preparing purchase orders and managing inventory.
  • Coordinate personnel functions, such as processing terminations, new hires, transfers, and payroll/timekeeping.
  • Audit for compliance.
  • Process registrations and provide payment methods for employee training, travel, and lodging arrangements.
  • Prepare employee expense claims and resolve any issues resulting from claims.
  • Prepare and review complex reports, forms, and other records prepared by others for clarity, completeness, accuracy and conformance with standard policies and procedures.
