About The Position

The Community Corrections Division is seeking to fill a full-time, permanent Office Assistant (OA3) vacancy within the West Plains Field Office. This position performs file management and routine, advanced clerical support tasks for the unit. The role involves managing the front desk/office and telephones, channeling clients appropriately, assisting the public with general questions, and making appropriate referrals to ensure office operations are effectively managed and maintained. Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical experience with basic knowledge of Microsoft Office programs to include Outlook, Word, and Excel.
  • Must possess and maintain a vehicle operator's license valid in the State of Washington.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases and a variety of computer platforms/applications.
  • Ability to proofread written material, identify and correct errors, grammar and punctuation.
  • Ability to communicate effectively and clearly to staff, supervised individuals, stakeholders and public.

Responsibilities

  • Provide general office and clerical support to the Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs).
  • Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
  • Manage a multi-line phone system.
  • Compile data and manage a variety of paperwork, manuals, reports, field files, and archive according to agency policy and state guidelines.
  • Process incoming/outgoing mail.
  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Other duties as assigned.
