We are seeking a highly organized and detail-oriented Office Administrator to be the first point of contact at our Kelowna Head Office. This role has a strong customer service focus, and the ideal candidate will be proactive and detail-oriented with excellent communication and organizational skills.

Requirements

  • Minimum 2 years of administrative or office experience an asset
  • High school diploma or equivalent required; post-secondary education in administration an asset
  • Valid driver’s license and access to a reliable vehicle are required
  • Proficiency in Microsoft Excel, Word, and Outlook and keep up to date on new technologies
  • Demonstrated willingness to take initiative and proactively contribute to team goals, projects, and problem-solving efforts
  • Excellent communication and interpersonal skills
  • Professional demeanor with strong customer service skills
  • Strong attention to detail with excellent organization and multitasking skills

Responsibilities

  • Greet and assist clients, visitors, and staff in a professional and welcoming manner both in-person and over the phone
  • Manage incoming calls, emails, and correspondence
  • Manage administrative tasks such as filing, data entry, bank reconciliation, and meeting minutes
  • Conduct building safety tours, coordinate building and yard maintenance when needed along with managing the relationship with suppliers and vendors
  • Maintain and organize front office operations along with the common areas in our building, ensuring a clean and efficient workspaces
  • Prepare, format, and manage documents and presentations using Microsoft Word, Excel, Publisher and PowerPoint
  • Manage calendars, schedule meetings, and internal communications via Microsoft Outlook
  • Coordinate and plan corporate events
  • Coordinate mail, courier deliveries, and office supplies
  • Provide administrative support to various departments as needed
