About The Position

The Office Administrator serves as the primary operational partner and direct support to the General Manager (GM). This 100% onsite role is responsible for the seamless coordination of office activities, financial reconciliation, and personnel administration across multiple GFL sites. As the GM’s key administrative liaison, you will ensure that branch data is accurate, reports are timely, and the daily "front-of-house" operations—from the scale house to the customer service desk—run with maximum efficiency.

Requirements

  • 2–4 years of high-level administrative experience, preferably in an industrial or logistics setting (Waste Management, Construction, etc.).
  • Proven ability to handle sensitive data, prepare operational reports, and act as a reliable liaison for senior leadership.
  • High school diploma required
  • Advanced MS Office proficiency
  • Must be able to work 100% onsite to provide immediate support to the GM, the branch team, and visiting customers.
  • Valid work authorization in the country where the job is located is required.
  • Successful candidates will be required to provide valid documentation confirming their eligibility to work in the country where the job is located prior to their start date.

Nice To Haves

  • BS/BA in Business or a relevant field is an asset.
  • AS400 or Tower experience is highly preferred.

Responsibilities

  • Prepare and verify critical month-end reports for the GM, including landfill accruals, commodity tracking, and recycling scrap reconciliation.
  • Support the GM in meeting all division and Home Office audit requirements; maintain municipal quarterly billing spreadsheets and PI (Public Inventory) tracking.
  • Act as the GM’s point of contact for facility logistics, including internal office moves, large-scale purchasing requests, and organizing onsite meetings.
  • Manage and schedule customer service and community events on behalf of the GM and the branch.
  • Provide daily operational guidance to Customer Service Representatives; assist the GM with performance management, hiring workflows, and staff development.
  • Facilitate hands-on orientation and training for new staff regarding branch procedures, safety standards, and proprietary computer systems.
  • Support the branch by processing payroll for all personnel; manage HRIS/ADP data updates to ensure employee status and records are consistently accurate.
  • Manage manual municipal and commercial billing; ensure all roll-off work orders and residential accounts are entered into the ERP system with 100% accuracy.
  • Coordinate special waste documentation and oversee onsite scale house operations to ensure regulatory compliance.
  • Proactively manage the inventory for all office supplies and equipment to ensure zero disruption to branch operations.
