About The Position

We are seeking a detail-oriented Construction Project Administrator to support projects from contract award through closeout. This role is critical in ensuring accurate project setup, billing alignment, and compliance with contract requirements. You’ll work closely with Project Managers, Sales, and Billing teams to keep projects running smoothly and on track.

Requirements

  • Experience in project administration, construction administration, or project coordination
  • Strong understanding of contracts, billing, and project financials
  • Experience with accounting or ERP systems (construction industry a plus)
  • High attention to detail and strong organizational skills
  • Ability to manage multiple projects and deadlines
  • Strong communication and coordination skills

Responsibilities

  • Review contracts to understand scope, billing terms, and compliance requirements
  • Identify key provisions that impact project execution and billing
  • Set up projects in accounting systems, including budgets, cost codes, and Schedule of Values (SOV)
  • Ensure all project data aligns with contract terms and internal controls
  • Collect and track insurance documents (COIs, endorsements, etc.)
  • Ensure all compliance requirements are met before project start
  • Maintain organized, audit-ready documentation
  • Maintain and update project budgets, including approved change orders
  • Monitor job costs and help identify discrepancies
  • Support Project Managers with financial accuracy and reporting
  • Ensure billing aligns with contract terms, SOV, and approved change orders
  • Track and manage change order documentation and approvals
  • Coordinate with internal teams and clients to keep financials up to date
  • Provide accurate information to Billing for invoicing
  • Manage the closeout process to ensure all requirements are completed
  • Compile and track closeout documents, including: Final waivers and releases, As-built drawings (if applicable), Warranty documentation, Final financial reconciliations
  • Ensure all billing and financials are fully reconciled before project completion
  • Support final invoicing and resolve outstanding balances
  • Act as a key liaison between Project Managers, Sales, and Billing
  • Ensure clear communication and alignment across teams
  • Maintain organized project files (contracts, change orders, insurance, financials)
  • Ensure all documentation is accurate, complete, and audit-ready
