About The Position

New Direction Trust Company (NDTCO) is looking for a highly organized, people-focused, and service-driven Office Administrator to help create an exceptional experience for both our clients and employees. This is far more than a traditional front desk position. We are looking for someone who thrives in a fast-paced professional environment, enjoys creating structure and organization, and takes pride in being the person who keeps everything running smoothly behind the scenes. At NDTCO, we help clients take control of their retirement investments through self-directed accounts that allow investing beyond traditional stocks and mutual funds. Requirements

  • 2+ years of office administration, hospitality, executive support, or similar experience
  • Strong multitasking and organizational skills
  • Excellent written and verbal communication skills
  • High attention to detail and professionalism
  • Proficiency in Microsoft Office or Google Workspace
  • Ability to prioritize tasks and adapt in a fast-paced environment

  • Experience in financial services, banking, or professional office environments

Responsibilities

  • Welcome clients, visitors, and vendors with professionalism and warmth
  • Serve as the first point of contact for office guests
  • Coordinate visitor check-in, meeting logistics, and office hospitality
  • Maintain a clean, organized, and polished front office environment
  • Help create a high-quality and consistent client experience
  • Manage office supplies, vendor relationships, and facility needs
  • Coordinate maintenance requests and service providers
  • Support office organization, procedures, and internal documentation
  • Assist with company events, meetings, and employee engagement activities
  • Help maintain a productive and positive office environment
  • Provide administrative support to leadership when needed
  • Assist with calendars, meetings, travel coordination, and scheduling
  • Prepare reports, presentations, and professional correspondence
  • Handle sensitive and confidential information with discretion
  • Track projects, follow-ups, and action items to help keep initiatives moving forward
