About The Position

We are looking for an enthusiastic and ambitious Office Administrator to join our team. The ideal candidate will have strong organizational and prioritization skills and a proactive approach to problem-solving, to effectively support project and general administrative needs. Our company values client service and collegiality, so we’re looking for someone who is professional, friendly, articulate and courteous in all interactions with our team, clients and guests. As the "face" of our company, you’ll be responsible for warmly welcoming visitors—whether in person, over the phone or via email—and efficiently handling or directing inquiries. This is a full-time position based at our office in Omaha. This is a non-exempt position reporting directly to the Chief Financial Officer.

Requirements

  • Proven experience in administrative support or front office roles.
  • Articulate with a polished appearance and excellent communication skills.
  • Strong interpersonal skills with a positive, collaborative attitude.
  • High accuracy and meticulous attention to detail in all tasks.
  • Exceptional organizational skills with the ability to multitask.
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and familiarity with CRM systems, particularly Salesforce.
  • Demonstrated reliability, dedication, and a strong work ethic.

Nice To Haves

  • Experience with office equipment, including video conferencing tools, printers and postage machines, is a plus.

Responsibilities

  • Draft and manage correspondence, prepare and review documents, presentations, and reports, and assemble materials for meetings and presentations.
  • Update data in the firm's CRM system (Salesforce), ensuring accuracy and completeness.
  • Package and distribute promotional materials, including conference booths, company literature, and branded items.
  • Organize and prepare for company meetings, including logistics, materials and catering. As needed, assist the marketing team with company events.
  • Welcome and assist guests in a professional and friendly manner, both in person and via phone.
  • Handle incoming and outgoing phone calls and emails, schedule meetings, and arrange travel and transportation. Manage and route electronic communications coming into general company email boxes.
  • Maintain and organize physical and digital file storage to ensure efficiency and accessibility.
  • Maintain a tidy and professional office environment, manage and organize office and kitchen supply inventory, and coordinate with building management regarding parking administration, common area reservations, deliveries, maintenance, and guest access.
  • Manage and coordinate physical and electronic mail and inbound and outbound packages and deliveries.
  • Oversee and assist with special projects and ongoing initiatives as assigned.
