We’re seeking a motivated Office Administrator with experience in administrative support who thrives in fast-paced environments. As our Office Administrator, you’ll be the center of daily operations—managing communications, appointments, supplies, event coordination, and general support to keep our office running smoothly. You’ll need to be open-minded and ready to jump in wherever you’re needed. This part time role is based in Rosedale B.C. Requirements

  • Proficient in Microsoft Office Suite and office management software.
  • Knowledge in administrative processes and office management systems.
  • Able to maintain a high level of professionalism, accuracy, and confidentiality.
  • Highly organized with attention to detail.
  • Possess excellent communication and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Able to prioritize and multi-task in a fast-paced environment.
  • Ability to prioritize tasks and manage multiple priorities simultaneously.
  • Hold a valid driver’s license with a cleaning driving abstract.

Responsibilities

  • Handle incoming calls and emails and direct them to the appropriate individuals.
  • Monitor and onboard new employees on office protocols.
  • Support HR Team with HR specific tasks.
  • Support Payroll team with payroll admin tasks or processing.
  • Schedule appointments and meetings, send reminders, and make travel arrangements.
  • Manage office supplies inventory, ordering supplies as needed, and ensuring that the office is always well-stocked.
  • Maintain office equipment.
  • Ensure the office is clean and well-maintained, arranging for routine maintenance and repairs as needed.
  • Ensure all office storage rooms are organized, maintained and controlled.
  • Receive and distribute mail, packages, and shipments to the appropriate recipients.
  • Assist HR Team with scheduling and coordinating office events.
  • Support meeting and conference needs (ie. Ordering catering etc)
  • Providing general administrative support to all employees as needed.
  • Perform other duties assigned by management.
