We are seeking a highly organised Office Admin Coordinator to support the smooth day-to-day running of our Perth office in a part-time, job share capacity (Thursday and Friday). This role plays a key part in maintaining a safe, efficient, and engaging workplace, while supporting office operations, staff experience, and compliance requirements.

Requirements

  • 3–5 years’ experience in a similar office coordination or administration role
  • Strong organisational and time management skills
  • Detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment
  • Excellent communication skills
  • Maintain a high level of confidentiality
  • Confident engaging with a broad range of stakeholders
  • Proactive, self-motivated individual who takes ownership, solves problems effectively, and contributes positively to workplace culture
  • Intermediate to advanced Microsoft Office skills

Responsibilities

  • Managing daily office operations to ensure a clean, safe, and well-functioning environment, including oversight of facilities, maintenance, and supplier relationships
  • Supporting workplace health and safety requirements, maintaining compliance processes, and coordinating audit-related activities.
  • Managing incoming and outgoing mail, courier logistics, and office systems such as desk and car park allocations.
  • Overseeing office budgets, invoice approvals, and recurring services
  • Coordinating internal office events and initiatives, including team functions, town halls, and cultural events in partnership with DE&I
  • Supports internal communications to Perth staff, monitors shared inbox requests, and provides administrative support to the EA as required
  • Managing office supplies, kitchen and cleaning services, AV readiness for meeting rooms, and coordination of emergency roles such as Fire Wardens and First Aiders
