About The Position

As an Occupancy Specialist I, you play a key role in making that possible, helping residents navigate the path to stable housing while ensuring our communities remain compliant and well-managed. In this highly people-focused role, you’ll serve as a vital connection between property management, resident services, and our diverse resident population. You’ll guide applicants and residents through the leasing and recertification process with clarity and care, ensuring all compliance requirements are met while creating a welcoming and respectful experience for everyone you support. Your work will balance precision and compassion—managing occupancy and leasing activities, maintaining accurate documentation, and supporting day-to-day site operations as needed. At the same time, you’ll build meaningful interactions with residents, helping them feel informed, valued, and confident throughout their housing journey. This is more than an administrative role—it’s an opportunity to combine attention to detail with a strong sense of purpose, making a real impact in a community that values inclusion, respect, and stability.

Requirements

  • Minimum of one (1) year of experience in property management, preferably in affordable housing or residential communities.
  • Proficiency in Google Workspace(Docs, Sheets, Drive, Gmail, Calendar), and MS Excel.
  • Experience with, or the ability to quickly learn, property management, waitlist, database, and compliance software; experience with Yardi is a plus.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal and communication skills; ability to work independently with minimal supervision while also collaborating effectively with team members.
  • Ability to prioritize workload to meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Comfortable working with a diverse population, primarily seniors, in a residential setting; prior experience preferred.

Nice To Haves

  • Bilingual in English/Russian or English/Chinese preferred.
  • COS, LIHTC, and Fair Housing experience preferred; willingness to obtain required certifications with employer-provided training.

Responsibilities

  • Schedule, interview, and recertify current residents in a timely manner in accordance with program requirements.
  • Maintain complete, accurate, and audit-ready resident files.
  • Contact waitlist applicants, schedule and conduct tours, and regularly update waitlist records.
  • Complete move-in and move-out certifications and related processing.
  • Provide assistance to residents and applicants with required forms and verification processes, as needed.
  • Process and follow up on resident rent payments and related documentation.
  • Monitor Travelbank and troubleshoot missing documentation with the team.
