Requirements

  • Previous experience in hotel front office, night audit, guest services, reservations, accounting, cash handling, or related customer service is preferred
  • Experience using a property management system, point-of-sale system, reservation platform, or accounting-related system is an asset
  • Strong numerical accuracy, attention to detail, and ability to reconcile financial transactions, guest folios, and reports with minimal supervision
  • Strong guest service skills with the ability to respond professionally to overnight requests, concerns, emergencies, and high-touch service interactions
  • Ability to work independently, remain calm under pressure, and make sound decisions during overnight operations
  • Excellent written and verbal communication skills, including clear shift handover and incident documentation
  • Flexible availability and willingness to work overnight shifts, weekends, holidays, and other shift work as required
  • High level of accuracy, organization, and attention to detail when handling transactions, reports, reservations, and guest information
  • Professional overnight guest service mindset with the ability to create calm, reassuring, and memorable experiences
  • Strong problem-solving and service recovery abilities, especially when working with limited overnight support
  • Comfort with audit processes, basic accounting principles, payment reconciliation, and financial confidentiality
  • Excellent communication, listening, documentation, and interpersonal skills across guests, colleagues, and leadership
  • Ability to multitask, prioritize nightly deadlines, and maintain professionalism during quiet and busy overnight periods
  • Comfortable using computers, phone systems, email, property management systems, and guest service technology

Responsibilities

  • Provide warm, professional, and attentive guest service throughout the overnight shift, including late arrivals, early departures, wake-up calls, guest requests, and service recovery
  • Complete check-ins and check-outs accurately, verify reservations and payment details, issue room keys, and provide clear information about the property, resort amenities, services, and local area
  • Respond calmly and professionally to overnight guest concerns, complaints, emergencies, and special service needs, escalating matters to leadership or the appropriate department when required
  • Support a quiet, safe, and welcoming overnight environment by monitoring guest activity, following property procedures, and coordinating with Security, Maintenance, Housekeeping, and other departments as needed
  • Uphold Cabot’s luxury hospitality standards in all overnight guest interactions, written communications, and issue resolution
  • Run nightly audit and end-of-day procedures in the property management system, ensuring room and tax postings, adjustments, payments, and folio balances are accurate
  • Reconcile cash, credit card, debit, deposits, package postings, and other transactions according to company procedures and financial controls
  • Review guest accounts, reservations, no-shows, rate discrepancies, billing instructions, routing, and traces to identify and correct errors before the business day rolls over
  • Prepare and distribute daily audit, revenue, occupancy, arrivals, departures, and operational reports for Front Office leadership, Accounting, and other departments as required
  • Maintain accurate guest profiles, reservations, folios, shift logs, key control records, and handover notes in the property management system
  • Complete overnight front desk duties, including phone and email inquiries, guest messaging, reservation support, billing questions, room moves, and shift checklists
  • Work independently during overnight hours while knowing when to escalate guest, operational, safety, or financial concerns to Front Office leadership or the Manager on Duty
  • Provide clear shift handover communication for unresolved guest issues, audit exceptions, maintenance concerns, security matters, arrivals, departures, and follow-up items
  • Coordinate professionally with Security, Maintenance, Housekeeping, Reservations, Accounting, Food & Beverage, and Front Office teams to support continuity of service
  • Participate in training related to night audit procedures, guest service standards, property systems, emergency response, privacy, safety, and operational expectations
  • Complete nightly logs, audit checklists, discrepancy notes, guest request records, incident reports, and financial documentation accurately and on time
  • Protect confidential guest, employee, and financial information by following privacy, key control, cash handling, and document retention procedures
  • Support overnight safety and security by following emergency procedures, monitoring public areas as required, documenting incidents, and contacting the appropriate internal or external support when needed
  • Prepare the front desk and audit records for the morning team, ensuring reports, cash-outs, deposits, keys, and follow-up items are organized for a smooth transition
