About The Position

Vellum Health is seeking a National Sales Operations Manager to bridge the gap between signed contracts and actual service delivery. This role is crucial for ensuring that contracted facilities become active, generate consistent patient referrals, and fully utilize the company's clinical workforce. The position involves owning the systems, reporting, and cross-functional coordination necessary to transition a signed contract into a fully operational service within hours. This is a builder role with significant influence over the company's growth, working directly with the executive team.

Requirements

  • 4+ years in sales operations, revenue operations, or business operations.
  • Ideally, some experience in healthcare services, medical devices, home health, post-acute, or digital health.
  • Familiarity with B2B healthcare sales cycles involving SNF/LTAC operators, home infusion pharmacies, or payer contracting.
  • Hands-on CRM administration experience (Salesforce or HubSpot), including building reports, workflows, and objects.
  • Strong analytical skills; advanced Excel/Google Sheets.
  • Experience driving account activation, adoption, or utilization.
  • Experience building forecasts and territory models from scratch.
  • Clear communication skills with sellers, clinicians, finance, and executives.
  • Comfort with ambiguity and a bias toward shipping.
  • Bachelor's degree or equivalent practical experience.

Responsibilities

  • Activate contracted facilities by owning the process from closed-won to live and referring, driving onboarding, orientation, and initial referrals for quick ramp-up.
  • Drive referral volume and full-service capture by monitoring referral flow, identifying under-referring accounts or those not utilizing full contracted services, and working cross-functionally to close gaps.
  • Push toward 100% workforce utilization by matching referral demand to clinical capacity market by market and driving activity to fill volume gaps.
  • Connect sales to service delivery by standardizing the handoff from closed-won to onboarding, scheduling, and dispatch.
  • Own the CRM by administering, cleaning, and evolving it, including data hygiene, pipeline stages, required fields, automation, and integrations.
  • Run the forecast by building and maintaining weekly pipeline reviews, forecast calls, and win/loss tracking.
  • Design territories and quotas by partnering with leadership on account segmentation, territory design, quota setting, and capacity planning.
  • Enable the team by maintaining the sales playbook, pricing and proposal templates, RFP/contracting, and support materials.
  • Improve the process by identifying and fixing friction points such as idle contracts, stalled referrals, manual reporting, and data issues.
