About The Position

Gray Media, a multimedia company headquartered in Atlanta, Georgia, is the nation's largest owner of top-rated local television stations and digital assets. WWSB-TV, owned by Gray Media, is located in the Tampa (Sarasota) TV market and produces over 38 hours of local news weekly. This role provides essential sales support to the National Sales Manager and Director of Sales, focusing on administrative tasks, order management, and professional client communication. The ideal candidate will be enthusiastic, highly organized, detail-oriented, and capable of managing tasks under pressure. Strong phone/email skills, problem-solving abilities, and the capacity to quickly learn industry software are crucial. Accuracy and professional client interaction are paramount.

  • Prior administrative experience.
  • Experience with Wide Orbit Sales & Traffic.
  • Broadcast Sales, media buying, or agency experience is a plus.

Responsibilities

  • Assist the National Sales Manager in day-to-day duties.
  • Maintain regular professional communication with the National Sales Manager, National Agencies, and the station traffic department via phone, email, and in person.
  • Enter, confirm, and maintain all new, revised, and cancelled national orders in WideOrbit, ensuring accuracy and handling electronic transfers.
  • Send log times, such as pre logs, post logs, and invoices as necessary.
  • Manage daily pre-empted and displaced spots, collaborating with the NSM and National agencies to approve make-good opportunities that maximize inventory.
  • Notify all program changes, specials, etc., through the electronic order system promptly.
  • Communicate any revenue changes in new/existing orders to Sales Management.
  • Liaise with the traffic department regarding order entry, spot placement, and formatting.
  • Research billing discrepancies and reconcile credit memos as required before month-end.
  • Maintain national political public files and update the FCC political website.
  • Maintain organized filing systems in a timely manner.
  • Develop a thorough understanding of Comscore ratings, WO Sales, and other research tools.
  • Work cooperatively with managers, co-workers, and clients to deliver a high level of service.
  • Learn new systems and software promptly and thoroughly.
  • Perform other duties as assigned by Sales Management.
