About The Position

The Ministry Licensing Coordinator provides operational and project-management support for Crossway’s ministry-oriented licensing initiatives, particularly in under-resourced languages and frontier international publishing markets. The Coordinator helps move projects from initial inquiry through contracting, file delivery, publication, and reporting while serving the day-to-day needs of licensees and ministry partners.

  • A college degree or equivalent 3-5 years of professional work experience.

  • Ability to exercise discretion, maintain accurate records, and manage confidential or contractual information appropriately.
  • Willingness and ability to travel domestically and internationally, as needed.

Responsibilities

  • Support the Director of Ministry Licensing Partnerships in implementing ministry licensing strategies, priorities, and approved programs.
  • Coordinate ministry licensing projects from initial inquiry and internal review through contracting, file delivery, publication, and final reporting.
  • Serve as a primary point of contact for routine licensee and partner communication, providing timely guidance and escalating strategic, contractual, financial, or relational matters as appropriate.
  • Draft licensing agreements, amendments, and addenda from approved templates and authorized terms; coordinate with Licensing Processes to ensure timely approval and execution.
  • Manage delivery of review materials, PDFs, production files, and other approved assets to prospective and contracted licensees.
  • Track project workflows, contractual deadlines, publication requirements, reporting obligations, funding commitments, and other key milestones; identify delays or issues requiring follow-up.
  • Maintain accurate and organized records of licensing opportunities, contracts, partner correspondence, applications, project status, payments, reports, and related documentation.
  • Provide operational support for licensing initiatives in under-resourced languages and English-speaking markets where conventional commercial licensing models may not be viable.
  • Research prospective publishers, ministry organizations, language needs, and publishing markets, and assist with evaluation of partner capacity, publishing experience, distribution plans, financial sustainability, and mission alignment.
  • Provide administrative and project-management support for Crossway-initiated ministry programs, including partner outreach, application intake, internal review, funding coordination, progress monitoring, and impact reporting.
  • Coordinate with the Licensing Royalty Manager and Finance to support accurate recording and processing of royalties, license fees, funding commitments, payments, and required financial reporting.
  • Collaborate with International Sales, Licensing Processes, Finance, Legal, Global Ministry, Advancement, and other departments as needed to keep projects moving efficiently and aligned with Crossway priorities.
  • Prepare project summaries, internal reports, budget updates, meeting materials, and partner reports as assigned.
  • Attend domestic or international events and partner meetings as directed, assisting with preparation, logistics, follow-up, and professional representation of Crossway.
