About The Position

The Mill Claims Coordinator will be responsible for reviewing and processing mill claims that fall under manufacturer's warranties. This role involves submitting complete claim forms, samples, and photos to manufacturers, following up on claim status to ensure timely resolution, and maintaining an internal portal for tracking claims. The coordinator will also work with external resources like independent inspectors, process manufacturer credits, and support the Sales team and customers throughout the mill claims process. A key aspect of this role is determining the cause of issues (manufacturer warranty vs. installation/environment) and ensuring accurate coding and issuance of credits using basic accounting principles.

Requirements

  • Must be detailed and action oriented and possess strong problem solving & analytical skills
  • Proven accuracy in data entry and verification process
  • Strong computer skills a must including MS Word and Excel.
  • Basic math and accounting skills
  • Associate’s degree in a Business Related Field or minimum of 2 years of work experience in a similar field.

Responsibilities

  • Review and revise, as needed, all reported mill claims that fall under manufacturer’s warranties.
  • Process mill defect claims by submitting a complete claim form, samples, photos, and other pertinent documents to the manufacturer, utilizing a standardized mill claim form and procedures.
  • Consistently follow up with vendors on claim status to ensure a 30-day resolution time frame.
  • Develop a strong working relationship with vendor contact and/or vendor sales representative.
  • Maintain an internal portal to track and document all submitted claims.
  • Utilize external resources such as independent inspectors to aid in the claim resolution process.
  • Process all received manufacturer credits to be applied to customer’s account.
  • Utilize authorized credit approval level to drive the resolution of a claim as a policy adjustment and/or to meet service time frame.
  • Using basic accounting principals, ensure that all credits are coded accurately and issued correctly.
  • Support the Sales team and work directly with customers in the Mill Claims process.
  • Determine a manufacturer’s warranty issue versus an installation or environment issue.
  • Document all processes and practices regarding mill claims and offer suggestions as needed.
