About The Position

The HR Administrative Assistant is responsible for the support of day-to-day human resource and general office operations.

Requirements

  • High School diploma or GED required
  • Experience with computer systems required, including Outlook, Word, Excel, PowerPoint and other web-based applications
  • Ability to communicate clearly and effectively in English, both verbally and in writing
  • Must have a current vehicle license in good standing and meet the driving records standards outlined in the Company Safe Vehicular Operations Policy

Nice To Haves

  • At least one year previous HR Admin experience preferred
  • Previous experience working in an HRIS system preferred

Responsibilities

  • Perform general administrative tasks for the HR Department, including maintain HR supply inventory and placing orders as needed, assist with scanning, copying and filing (including e-filing) of HR documents, manage conference room calendars and book events as needed, perform HRIS and general data entry
  • Assist with new employee onboarding (NEO), including preparing new employee packets for first day, creating and posting new employee bios, preparing new employee bags for monthly NEO training, set-up and break-down of conference room, ordering lunch for NEO and other HR training, assist with ensuring NEO stays to schedule
  • Manage the temporary employee process, including ensuring temporary employee requests are received and approved, coordinate with temporary agency and hiring manager to set-up temporary interview and communicate results to all parties, coordinate start and termination dates with temporary agency and hiring managers, track temporary employees and ensure approvals are received for extensions of temporary requests.
  • Answer telephone, screen and direct calls. Provide information to callers as needed
  • Greet and direct walk-in visitors and customers
  • Facilitate pre-employment screening
  • Maintain inventory of uniform closet, distribute uniforms as needed
  • Create and receive purchase orders monthly
  • Manage employee base pass procurement, including ensuring all required documentation is received from employees, updating Base Pass renewal spreadsheet, notifying and assisting employees with pick-up location and times, follow-up on any unapproved or delayed base passes, ensure proper signature are obtained for lost base passes
  • Receive, sort and distribute HR mail and deliveries
  • Participate in planning and organizing employee events
