About The Position

The Membership & Community Assistant supports the Assistant Controller, Membership Director, and Communications Manager in the daily operations of the Club and community association. This role is responsible for providing accounting, membership, communications, and operational support to ensure efficient business operations and exceptional member service. The ideal candidate is highly organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment while maintaining a strong customer-service focus.

Requirements

  • Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to organize and prioritize assigned projects.
  • Ability to work collaboratively with staff and community members
  • Excellent organizational and multitasking abilities
  • Must be computer proficient. Knowledge of Windows-based programs such as Word, and Excel.
  • Must be able to use email and utilize the internet.
  • Knowledge of retail point-of-sale systems, accounting systems, spreadsheet software, and word-processing software
  • Excellent interpersonal/communication and customer service skills.
  • Maintains professional appearance and demeanor at all times.
  • Must be a team player and service oriented.
  • Ability to meet US employment eligibility requirements and company eligibility requirements.

Responsibilities

  • Process invoices & prepare A/P batch for signature
  • Assist with monthly vendor statement reconciliation
  • Maintain organized AP Records, including updating the filing system at the start of the New Year.
  • Process daily Lock box Cash Receipts
  • Post outstanding online payments
  • Reconcile credit card statement
  • Review departmental uniform accounts & reconcile outstanding balances
  • Assist with dining, golf & tennis lesson gratuity tracking
  • Assist with H-2B recruitment process & onboarding
  • Assist with the open enrollment process to ensure all staff receive proper notice of benefits & meet registration deadline
  • Assist with rental processes and related documentation
  • Support Membership director with enforcement of community standards through professional email communication
  • Preparing new owner welcome packets
  • Assembling realtor information packets
  • Organizing new member welcome bags
  • Provide tours for prospective members in the absence of the Membership Director
  • Follow up on work orders and coordinate repairs with Membership Director and the contracted community landscaper
  • Assist Membership Director with documenting community ride arounds and violations
  • Attend committee meetings (Hospitality & ARC)
  • Create and manage social media content to promote community initiatives and events
  • Capture and organize event photography for marketing and archival use
  • Assist with coordinating summer reciprocal programs with partner clubs
