About The Position

JLL is seeking a Meeting Services Support professional to join their team. This role is crucial for ensuring seamless meeting experiences for clients and internal teams by managing room setups, AV equipment, and providing exceptional customer service. The position involves a blend of technical AV support, logistical coordination, and proactive client interaction within a fast-paced environment. Requirements

  • High school diploma or state equivalent required.
  • Minimum of 2 years’ experience in AV, meeting room set-up and support.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Proficient at Excel Spreadsheets and capable of customizing administrative reports.
  • Experience with Resource Scheduler and Conferencing tools (MS Teams, Cisco Webex).
  • Ability to move, lift 50 lbs., set up and tear down folding tables and chairs for large meetings.
  • Ability to frequently walk around the buildings and up and down stairs.
  • Must be authorized to work in the United States without sponsorship.

Responsibilities

  • Set up meeting rooms by arranging tables, chairs, and AV equipment according to guest needs.
  • Post daily meeting schedules.
  • Perform daily and weekly inspections of meeting rooms and equipment to ensure readiness.
  • Document inspection results via QR code surveys.
  • Troubleshoot and resolve AV equipment issues on the spot.
  • Escalate unresolved issues using the FM work order system and own issue resolution.
  • Respond to and resolve guest requests for AV equipment assistance.
  • Diagnose and repair AV issues, and arrange for vendor assistance when necessary.
  • Maintain accurate AV inventory records in the AV Asset tracker database.
  • Perform preventive maintenance on AV equipment such as projectors, flat screens, and microphone systems.
  • Maintain inventory of spare AV equipment, meeting room furniture, and supplies (markers, flip chart paper, cables, etc.).
  • Provide on-site assistance for video conference vendors (Cisco) and VIPs.
  • Assist with vendor service calls for video conference rooms, escort vendors, and receive shipments.
  • Participate in monthly team meetings and complete required training (AV, account, corporate, customer service).
  • Demonstrate employee experience (EX) behaviors.
  • Run reports for room set-up requests and manage room scheduling (book, change, delete reservations).
  • Set up and remove tables, chairs, linens, and AV equipment for special events.
  • Maintain the site pool of shared AV equipment, tables, chairs, and linens for special event use.
  • Provide concierge-level support for the 11-room conference center, including room set-up, AV, and reception.
  • Perform daily audits of conference center areas for tidiness.
  • Perform other duties as assigned.
