About The Position

Optim Medical Center - Tattnall is seeking a full-time Medical Records Clerk for their Reidsville, GA location. This role involves abstracting information from patient records, ensuring accuracy and integrity of data before release, and maintaining strict security and confidentiality regulations for record access and release. The clerk will handle incoming calls, manage requests for information via mail, walk-ins, fax, or phone, and prepare requests for the Sharecare Contractor. Responsibilities include verifying request validity, coordinating with Sharecare, managing data spreadsheets, scanning documents for chart completion, and ensuring timely processing of ROI (Release of Information). The clerk will also retrieve and prepare charts for outside contractors, answer phones, transport and retrieve charts from storage, and maintain shred boxes. Adherence to hospital policies on confidentiality and release of protected health information is crucial. The role also requires punctuality, good attendance, and annual review of relevant manuals (HIPAA, HIM Policy & Procedure, Fire Safety) and competency checks.

Requirements

  • Demonstrated good verbal and telephone communication.
  • Familiarity with Medical and Surgical related forms.
  • Ability to lift and stack boxes weighing >30 lbs.
  • Punctual and maintains good attendance record by Employee Handbook guidelines.

Responsibilities

  • Abstracts information from the patient record.
  • Ensures accuracy and integrity of medical record abstract data prior to release of information.
  • Maintains security and confidentiality regulations for record access and release.
  • Receives calls to the department and handles appropriately.
  • Prepares request for Sharecare Contractor.
  • Verifies validity of request, attaches patient listing, coordinates with Sharecare, and manages spreadsheets for data list.
  • Scans documents for chart completion.
  • Completes and expedites ROI in a timely manner.
  • Retrieves, prepares charts, and assists the outside contract group for health data.
  • Answers phones and handles request of information in a confidential, professional, and expedient manner.
  • Transports and retrieves charts from storage buildings, including participating in building work days.
  • Maintains and logs all shred boxes appropriately.
  • Follows hospital requirements, policy & standards on confidentiality and release of protected health information.
  • Accepts additional assignments.
  • Maintains punctuality and a good attendance record by Employee Handbook guidelines.
  • Completes annual review of HIPAA, HIM Policy & Procedure, and Fire Safety manuals.
  • Completes annual competency check/knowledge of One Content, Paragon, Athena, and ROI.
