About The Position

Optim Medical Center - Tattnall is seeking a full-time Medical Records Clerk for our Reidsville, GA location. This role is primarily responsible for abstracting information from patient records, ensuring accuracy and integrity of data prior to release of information. The clerk must maintain strict confidentiality and security regulations for record access and release, consulting with a supervisor for any unusual requests. Responsibilities include handling incoming calls, processing requests for information release via mail, walk-in, fax, or phone, and preparing requests for a Sharecare Contractor. The role also involves scanning documents for chart completion, managing workload efficiently, and ensuring timely completion of Release of Information (ROI). Additional duties include retrieving and preparing charts, assisting outside contract groups, answering phones professionally, transporting and retrieving charts from storage, and maintaining shred boxes. The clerk must adhere to hospital policies on confidentiality and release of protected health information, accept additional assignments, and maintain punctuality and good attendance. Annual reviews of HIPAA, HIM Policy & Procedure, and Fire Safety manuals, as well as competency checks for One Content, Paragon, Athena, and ROI, are required.

Requirements

  • Demonstrated good verbal and telephone communication.
  • Familiar with Medical and Surgical related forms.
  • Ability to lift and stack boxes weighing >30 lbs.
  • Punctual and maintains good attendance record by Employee Handbook guidelines.
  • Annual Review of the following manuals: HIPAA, HIM Policy & Procedure and Fire Safety.
  • Annual Competency Check/Knowledge of One Content, Paragon, Athena and ROI.

Responsibilities

  • Abstracts information from the patient record.
  • Ensures accuracy and integrity of medical record abstract data prior to release of information.
  • Maintains security and confidentiality regulations for record access and release.
  • Handles incoming calls to the department appropriately.
  • Processes requests for information release via US Mail, Walk-in’s, Fax or Phone request.
  • Prepares requests for Sharecare Contractor, verifies validity, attaches patient listing, coordinates with Sharecare, and manages spreadsheets for Data list.
  • Scans documents for chart completion.
  • Keeps up with the workload.
  • Completes and expedites ROI in a timely manner.
  • Retrieves, prepares charts, and assists the outside contract group for health data.
  • Answers phones and handles requests of information in a confidential, professional, and expedient manner.
  • Transports and retrieves charts from storage buildings including participating in building work days.
  • Maintains and logs all shred boxes appropriately.
  • Follows hospital requirements, policy & standards on confidentiality and release of protected health information.
  • Accepts additional assignments.
  • Maintains punctuality and good attendance record by Employee Handbook guidelines.
  • Completes annual review of HIPAA, HIM Policy & Procedure and Fire Safety manuals.
  • Completes annual competency check/knowledge of One Content, Paragon, Athena and ROI.
