About The Position

US Heart and Vascular is in need of a Medical Practice Office Lead to join our HeartPlace clinic in McKinney, TX. This role is responsible for all office scheduling, including physician, patient, and front-office employee related tasks. The Lead ensures the efficient function of the office through proper employee scheduling and works with the back-office coordinator for back-office staff. They accept, consider, and approve/deny employee requests for PTO, and ensure all employees correctly administer timesheets, with time submitted for payment being accurate and compliant with Company policy. The Lead approves time for payment in a timely manner. They supervise and/or perform Check-In, Check-out, scheduling, insurance verification/precertification, and payment collection processes as required by office demands. Responsibilities also include responding to patient account inquiries, negotiating and arranging financial arrangements with patients, and overseeing or performing scheduling of hospital procedures/tests, including doing orders and precertification. The Lead works with Operations and Human Resources to assist in resolving office issues, employee performance or policy issues, and/or employee concerns. They are responsible for initiating the evaluation paperwork process, including instructing staff on self-evaluation and offering input on employee performance. Additionally, the Lead assists with the management of, and oversees, the OSHA and HIPAA requirements for the clinic.

Requirements

  • High School diploma or equivalent.
  • 2-4 years medical office experience to include heavy scheduling experience: physician, patient and employee related
  • Supervisory experience: strong employee relations skills

Responsibilities

  • Responsible for all office scheduling; physician, patient and front-office employee related.
  • Ensures efficient function of the office through proper employee scheduling.
  • Working with back-office coordinator for back-office staff, accepts, considers and approves/denies employee requests for PTO.
  • Ensures all employees are correctly administering time sheets.
  • Ensures time submitted for payment is accurate and complies with Company policy.
  • Approve time for payment in a timely manner.
  • Supervises and/or performs Check-In, Check-out, scheduling, insurance verification/precertification and payment collection process as required due to office demands.
  • Responds to patient account inquiries (check for accurate ins. Reimbursement & open charges.
  • Negotiates and arranges financial arrangements w/patients.
  • Oversees or performs scheduling hospital procedures/test, doing orders & precertification.
  • Works with Operations and Human Resources to assist in resolving office issues, employee performance or policy issues, and/or employee concerns.
