About The Position

LifeSouth Community Blood Centers is looking for a professional, personable, and detail-oriented individual to join our team as a Medical Office Specialist in Gainesville, FL. This office-based position serves as an important point of contact for donors and internal teams regarding medical and donor-related questions. The ideal candidate is comfortable communicating by phone, has a strong understanding of medical terminology, and enjoys working in a structured office environment where accuracy, confidentiality, and excellent customer service are essential.

Requirements

  • High school diploma or GED
  • Excellent phone presence with strong verbal and written communication skills
  • Ability to communicate professionally and compassionately with donors, employees, and other internal and external customers
  • Familiarity with medical terminology and the ability to understand and communicate medical information
  • Strong attention to detail and ability to accurately document sensitive information
  • Ability to maintain strict confidentiality of donor and medical information
  • Comfort working primarily in an office and desk-based environment
  • Ability to work independently, stay organized, and manage multiple responsibilities
  • Ability to understand and follow detailed written and verbal instructions
  • Basic computer skills, including proficiency with Microsoft Office

  • Previous administrative or medical office experience
  • Previous blood banking or other healthcare-related experience

Responsibilities

  • Communicate with donors by phone regarding eligibility questions, donation-related incidents, testing, notifications, and other medical matters
  • Address and document donor eligibility questions accurately and professionally
  • Coordinate enrollment and donations for autologous, directed, and therapeutic patients
  • Schedule donor re-entry testing and assist with donor reinstatement processes
  • Perform donor notification functions while maintaining sensitivity and confidentiality
  • Obtain and process requests for protected health information in accordance with HIPAA requirements
  • Support administrative processes related to employee exposures and adverse transfusion events
  • Coordinate calendars, meetings, call schedules, travel arrangements, correspondence, and other Medical Office administrative needs
  • Collaborate with Nursing Services, Medical Directors, laboratories, Quality Assurance, LifeCord, and other departments to support Medical Office activities
  • Maintain accurate documentation and appropriately handle confidential donor and medical information
  • Assist with special projects and other Medical Office functions as assigned
  • Participate in a shared weekend phone rotation from 9 a.m. to 5 p.m. to assist with urgent donor and blood component matters
