About The Position

The Medical Office Receptionist at the Transplant Specialists Clinic is responsible for delivering patient care through the Medical Office Receptionist Process. This role involves managing patient check-in and check-out, handling phone calls, scheduling appointments, verifying insurance information, and maintaining patient records. The position requires a high level of customer service, organizational skills, and proficiency in computer systems within a fast-paced clinic environment.

Requirements

  • High School Diploma or equivalent
  • Be an outgoing individual with a friendly attitude
  • Have strong attention to detail
  • Be able to multi-task front desk job responsibilities for a busy clinic
  • Must have outstanding communication, interpersonal, customer service, and organizational skills
  • Have knowledge of insurance authorization/billing requirements
  • Have demonstrated strong customer service and communication skills

  • Be proficient computer skills
  • Have knowledge of clinic procedures and regulatory requirements
  • Possess a strong work ethic and a high level of professionalism

Nice To Haves

  • Six months Medical experience in a Clinic
  • Insurance and Referral Verification experience
  • Six months Business Office Customer Service experience

Responsibilities

  • Performs patient check-in and completes all necessary paperwork for efficient admitting process and compliance with clinic and regulatory policies.
  • Answers phone calls and directs them appropriately.
  • Schedules appointments according to office guidelines.
  • Obtains accurate patient and insurance information, collecting copays and deductible amounts.
  • Copies/scans patient access related hard copy materials into the correct location in the electronic medical record.
  • Prepares charts for patient appointments ensuring all necessary information is complete.
  • Conducts all functions associated with patient check-out, including pricing services, collecting patient responsibility payments, and scheduling follow-up appointments.
  • Performs duties involving record filing and retrieval and assists with the filing of registration documentation in electronic medical records.
  • Confirms next day appointments and alerts patients about needed documentation and time-of-service payment details.
  • Follows up with patients regarding the Missed Appointment Policy and sends appropriate communications.
  • Performs other duties as assigned.
