About The Position

This role serves as the primary point of contact for patients and visitors in a clinic setting, managing front desk operations, patient check-ins, and appointment scheduling. The Medical Office Clerk is responsible for various administrative and clerical functions to support efficient medical care delivery, including managing documentation, operating patient management software, and compiling reports. The position requires excellent customer service skills and the ability to assist patients with various needs, including liaising with social services and benefits advisors. Key duties also involve handling medical records, processing physician orders, and ensuring data integrity within electronic systems. Continuous learning through training and meetings is expected to maintain professional competency.

Requirements

  • High School Diploma or General Educational Development (GED) equivalent.
  • A minimum of six (6) months of experience in a clinical office environment.
  • Ability to successfully undergo a Government background check/security clearance.
  • Must hold a current Basic Life Support (BLS) certification from AHA or ARC for Healthcare Providers.

Responsibilities

  • Serve as the first point of contact for patients and visitors at the clinic's front desk, ensuring a welcoming environment.
  • Facilitate patient check-ins for clinical encounters, confirming appointment details and readiness for service.
  • Manage the main office telephone operations, directing calls as necessary.
  • Coordinate medical appointment scheduling, ensuring alignment with patient eligibility criteria for services.
  • Collect and organize required documentation as directed by healthcare providers to support clinical operations.
  • Undertake various administrative and clerical functions to enhance medical care delivery and operational efficiency.
  • Design and update appointment schedules and templates within the patient management software.
  • Execute end-of-day operations to close out business, addressing any pending appointments within the electronic system.
  • Deliver exemplary customer service both in-person and via telephone.
  • Assist patients and families in liaising with social services, chaplaincy, health benefits advisors, or patient admissions personnel.
  • Develop pre-admission documentation and complete necessary entries in electronic reporting systems.
  • Rectify admission discrepancies promptly to maintain data integrity.
  • Compile and process weekly and monthly reports derived from operational logs and documentation.
  • Operate fax machines and photocopy medical records as required.
  • Document physician orders for laboratory and radiology tests within the medical information system, and retrieve lab results efficiently. Prepare urgent lab report copies for the attending physician as needed.
  • Engage in training sessions and meetings to maintain professional competency and stay abreast of updates through collaborative learning.
  • Implement administrative protocols for follow-up and tracking of patient interactions and outcomes.
  • Access and reference laboratory orders, results, and reports within Government computer systems, ensuring compliance and accuracy.
