About The Position

Working under direct supervision, provides administrative and clerical support to clinical and administrative staff including answering telephones, scheduling appointments, processing accounts receivable, managing confidential records, retrieving and filing medical records, scanning, and data entry. Full-time weekdays during the academic year. Some Saturday hours occasionally. Part-time summer hours are also required. This position is not eligible for sponsorship of non-immigrant or immigrant visa status through Wake Forest University. All eligible applicants are encouraged to apply.

Requirements

  • High school graduate with specialized training plus two or more years of medical office experience, or an equivalent combination of education and experience.
  • Experience working with computer-based practice management systems – EMR
  • General knowledge of office management procedures and techniques.
  • Ability to communicate effectively with patients, other clients, and Deacon Health office, clinical and administrative staff in a team environment.
  • Ability to perform multiple tasks simultaneously such as greeting/registering students and answering the telephone.
  • Superior customer service skills, proper telephone etiquette, and ability to maintain professional demeanor under pressure
  • Knowledge of medical terminology.
  • Ability to maintain confidentiality of University records and medical information.
  • Proficiency with Google software and the ability to learn medical office software.
  • Accuracy and proficiency in typing skills; ability to operate standard office equipment.

  • Skill in processing accounts receivable.
  • Experience working with the college age population.
  • Experience in a high volume primary care clinic environment.
  • Medical record keeping experience.

Responsibilities

  • Greet students and visitors to Deacon Health, answering questions in a courteous and professional manner.
  • Assists patients with scheduling appointments and checking in for appointments appropriately.
  • Answer phone calls and patient questions and provide information/resources, or take messages.
  • Performs administrative and clerical functions including routine correspondence.
  • Uses electronic medical records (EMR) to access and update patient information and schedules.
  • Completes medical records tasks including copying, faxing, printing, uploading, and scanning.
  • Assures confidentiality and privacy of medical records according to procedures, professional standards, and accreditation standards.
  • Receives payments, verifies and posts charges to client accounts and campus departments.
  • Balances and reconciles receivables for each day.
  • Sorts, screens, and distributes mail as appropriate.
  • Deliver materials on campus.
  • Maintain office supplies.
  • Participates in staff projects, programs, and events.
  • Perform other related duties as assigned.
