About The Position

As a dedicated subject matter expert and professional within the Office of Student Life, this role supports the planning, coordination, and implementation of initiatives that promote the academic and professional development success of medical students in all 4 years of their educational experience. This includes providing individualized student advising and coaching, overseeing tutoring services for MD students, and operating as a work lead for the 20+ student tutors staffed to provide support services. The Medical Education Learning Specialist will be responsible for developing, implementing and administering programs and workshops to support the academic success of students. This role works collaboratively with medical school faculty and staff to build knowledge about the science of learning and student support across the entire office of medical education. They will also provide one-on-one academic enrichment support for students with academic challenges.

Requirements

  • A Bachelor’s degree in education, psychology, learning science, or a related field. Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • 3 or more years of professional experience working with medical students as an academic advisor/learning specialist. Substitution: An advanced degree (Masters or Doctorate) may be substituted for experience on a year for year basis if the degree is in a field of study directly related to the work assignment.
  • Proven ability to work collaboratively with students, faculty and staff.
  • Excellent organizational skills, capacity for empathy and independent work.
  • Ability to establish and maintain effective working relationships with individuals from varied backgrounds and organizational levels.

  • Applicants must meet minimum qualifications at the time of hire.
  • Ability to work a hybrid remote schedule with up to 3 days a week in the office. Additional on-site days may be required when sessions, on-site meetings, or events necessitate an additional on-site presence.
  • May be required to work occasional nights and/or weekends.

Nice To Haves

Responsibilities

  • Provide individual academic assessment of medical students requesting help with learning and test taking skills.
  • Act as a Department subject matter expert related to student advising, this includes developing individualized plans for learning success that is tailored to each student based on: what area/phase a student is struggling in, specific recommendations for remediation, study planning and additional learning requirements, governed by Med School policies on Progress and Promotions.
  • Use expertise to establish services and a knowledge repository for students, including campus wide learning resources, medical student specific study aids and test taking aids, evidenced based study plans and learning tools, regular check in’s with students to adapt/adjust learning and remediation plans (in collaboration with progress and promotion committee policies and required learning steps for students).
  • Possess knowledge of and effectively connect students with campus resources to include behavioral health, groups, library and other learning benefits afforded.
  • Provide groups and workshops for students facing academic challenges in the pre-clinical medical school curriculum.
  • Provide group and individual support and coaching for students taking medical boards exams.
  • Teach and support faculty advisors with skills for supporting students through Step exam preparation.
  • Facilitate institution wide academic success programming focused on study skills, time management, clinical efficiency, and board preparation strategies.
  • Help set base line study and learning strategies specific to medical students and work alongside the faculty to ensure the students have been given ample resources and plans that will fit their specific academic needs for success.
  • Maintain knowledge of best practices for academic support services and implement evidence-based strategies.
  • Works independently and is able to make decisions on student academic advising and coaching needs.
  • Record and document student meetings to follow student progress.
  • Participate in student success meetings with faculty members and students.
  • Monitor and track student progress in pre-clinical and boards exam dashboards.
  • Office of Student Life Executive Committee Meeting - Produce agendas, keeps Minutes, provides tech support, and procedural admin.
  • Keep confidentiality of all private information.
  • Independently oversee the tutoring program for qualified MD students.
  • Plan and execute tutor trainings and ensure training completion by newly onboarded tutors.
  • Collaborate with HR to recruit student tutors.
  • Oversee the on-boarding, training, and payment processing for student tutors.
  • Oversee and manage the tutoring process for MD students by receiving student inquiries, matching students with prospective tutors, getting tutors access to student materials, and fielding any questions or concerns.
  • Provide high-level committees with insight and data on tutoring efficacy and usage by struggling students.
  • Manage the OSL library of donated books and educational resources for students to borrow within the Office of Student Life.
  • Share in the duties of answering the phone and working with students who “drop in” with requests within the Office of Student Life.
  • Establish and document best practices and standard operating procedures relevant to core work responsibilities.
  • Contribute to program functions of the Office of Student Life; participate in event preparation (Orientation, Matriculation Ceremony, Match Day, Graduation, etc.), act as back up for admissions interviews, etc.
  • Perform other duties as assigned by the Associate Dean of Student Affairs, the Assistant Dean of Student Success, the Student Affairs Assistant Deans, and the Manager of Admissions and Student Affairs.
