About The Position

Under the supervision of a Medical Provider, the Medical Assistant will provide clinical and clerical support to promote the delivery of high-quality patient care. The Medical Assistant's duties and responsibilities are dependent on demonstrated competency and may involve travel to other NOTCH sites. Medical Assistants are tiered based on clinical skills, certification, competency, and experience, with the ability for the organization to waive tiering requirements. The role involves patient interaction, administrative tasks, and a range of clinical duties.

Requirements

  • Knowledge of OSHA manual and standards, including appropriate hazardous waste handling and disposal

  • Medical Assistant Certification or Degree in Medical Assisting preferred
  • One-year experience as a Primary Care Medical Assistant or Certification in Medical Assisting AND 6 months experience as a Primary Care Medical Assistant at NOTCH (for Tier III)
  • Three years experience as a Primary Care Medical Assistant or 2 years experience as a Primary Care Medical Assistant and Certification in Medical Assisting AND one-year experience as a Primary Care Medical Assistant at NOTCH (for Tier IV)
  • Five years experience as a Primary Care Medical Assistant or 4 years experience as a Primary Care Medical Assistant and Certification in Medical Assisting AND two years experience as a Primary Care Medical Assistant at NOTCH (for Tier V)

Responsibilities

  • Interact with patients and members of the care team to provide a range of patient care services.
  • Greet patients and visitors.
  • Comply with HIPAA regulations.
  • Field and evaluate telephone calls and in-person encounters and direct callers and visitors to the appropriate personnel.
  • Secure necessary information and documentation from patients to process visits.
  • Review and update patient data, medical records, and registration forms with patients.
  • Assist patients in filling out paperwork if unable to complete.
  • Schedule patient appointments according to established office procedures.
  • Advise patients with routine non-medical instructions in preparation for appointments as per established protocols.
  • Answer non-medical questions within practice guidelines.
  • Request payment at time of service.
  • Update medical data, medications, and health problems in charts.
  • Check charts for insurance changes and patient information.
  • Copy patient charts.
  • Monitor fax machine and distribute faxes.
  • Participate in training sessions, monthly and daily staff meetings.
  • Handle referrals and phone calls to other provider offices for appointments; make callbacks or follow-ups for medical concerns as necessary.
  • Ensure accurate and timely documentation.
  • Participate in quality initiatives.
  • Transcribe telephone messages from prescription line.
  • Room patients.
  • Perform patient intake.
  • Adhere to infection control protocols, including hand washing and use of Personal Protective Equipment.
  • Take and record vital signs, including pulse oximetry.
  • Maintain sanitation of exam rooms and equipment.
  • Perform CLIA waived lab tests.
  • Administer Influenza Vaccinations.
  • Perform venipuncture and phlebotomy.
  • Collect specimens for outside laboratory testing.
  • Complete in-house orders including EKG, nebulizer treatments, spirometry/PFT, peak flow, and oxygen walk tests.
  • Execute organization-approved standing orders per written procedure.
  • Initiate and/or execute age-appropriate preventive care measures as detailed in the NOTCH Medical Practice Guideline.
  • Update medical data including medications and allergies.
  • Maintain billing standards, including complete documentation of the electronic superbill.
  • Follow NOTCH procedures and policies.
  • Participate in NCQA and HRSA quality improvement initiatives.
  • Comply with HIPAA and 42 CFR Part 2 regulations.
  • Support the clinic with Provider order tracking and follow-up.
  • Participate in pre-visit planning.
  • Enter child vaccinations on Vermont Department of Health website.
  • Perform diabetic foot checks as directed by the Provider.
  • Read PPD tests.
  • Triage telephone calls regarding medical concerns.
  • Administer injections and vaccinations.
  • Perform ear irrigation.
  • Assist Providers in procedures, including setting up sterile fields, suture and/or staple removal, and wound care.
  • Engage patients in self-management action planning as appropriate.
  • Assist Providers with patient education and instructions, self-management tools, and counseling on healthy behaviors.
  • Prepare prior authorizations for medications and diagnostic imaging.
  • Contribute to the assessment of a patient's health status.
  • Effectively communicate with patients using techniques such as motivational interviewing when appropriate.
  • Complete refrigerator temperature logs for vaccine supply integrity.
  • Review inventory for expired medical supplies on crash cart and in clinic.
  • Function as a preceptor for students and new hires.
  • Participate in Quality Improvement projects under the direction of the NOTCH Clinical Leadership Team.
  • Manage and/or complete understanding of the Vermont Department of Health Vaccination program, including storage and ordering.
  • Provide leadership in the clinical setting.
  • Advocate for and aid in the implementation of NCQA Patient Centered Medical Home initiatives.
  • Advocate for and aid in the implementation of HRSA Uniform Data Set initiatives.
  • Participate in organizational initiatives such as shared governance and committees.
  • Lead quality improvement activities.
  • Supervise staff as directed by the NOTCH Clinical Leadership Team.
  • Coordinate appropriate staffing levels as directed by the NOTCH Clinical Leadership Team.
  • Contribute to staff performance evaluations.
  • Monitor clinical staff performance and document job performance as appropriate.
  • Perform other duties as assigned.
