This position is responsible for leading and managing their assigned clinic location, utilizing knowledge of organization policies, procedures, and systems, and employing skills in planning, organizing, delegating, and supervising. The role requires effective interaction with physicians, staff, patients, the public, and external agencies, with the ability to take initiative and exercise independent judgment, decision-making, and problem-solving expertise.

Requirements

  • High School Diploma required.
  • Minimum of 3-5 years working in a medical office as a Medical Assistant.
  • Knowledge of clinic and company policies and procedures.
  • Knowledge of medical terminology and insurance practices.
  • Knowledge of Nextgen or EMA computer programs and applications.
  • Knowledge of CPT and ICD-10 coding.
  • Knowledge of managed care, Medicare, and Medicaid guidelines.
  • Skill in effective personnel management including training staff and delegating duties.
  • Skill in written and verbal communication.
  • Ability to work effectively as a team member with physicians and other staff.
  • Ability to respond timely to changing demands.
  • Ability to plan, organize, prioritize, and direct the work of others.
  • Ability to establish and effective working relationships with patients, employees, and the public.

Nice To Haves

  • Certified Medical Assistant is preferred but not required.
  • Prior dermatology experience is preferred.
  • Some supervisory experience is preferred.

Responsibilities

  • Leads employees to accomplish all job objectives; inspires confidence and motivation; clearly defines expectations, and maintains personal effectiveness under pressure.
  • Manages the back-office team for the assigned location, including back-office flow.
  • Follows clinic flow and moves staff as needed to ensure providers stay on time.
  • Assists the team on the floor when needed.
  • Trains and cross-trains core staff.
  • Adheres to all policies and procedures, including instrument cleaning, sterilization, and Covid protocols, and trains the team to understand and follow them.
  • Supports the practice manager with back-office employee time off and scheduling to adjust for outages.
  • Supports the manager for coverage.
  • Coaches and mentors the team to form a strong partnership between the back office and front office.
  • Maintains daily assignments and task responsibilities for the team weekly and posts them in the tech station for clear expectations.
  • Ensures all prescription refills, EMA tasks, and voicemails are completed by the end of the day.
  • Assures staff are taking breaks and punching out of the payroll system routinely and with minimal exceptions.
  • Communicates with physicians or providers and the front desk on patient scheduling and any overrides or add-ons.
  • Manages triage and inbound/outbound calls.
  • Maintains CLIA portal for full compliance.
  • Partners with the Practice Manager on all back-office inventory orders.
  • Partners with the Practice Manager on back-office staff reviews annually and within 30, 60, 90 days, including all new hires, to be completed timely.
  • Conducts interviews with candidates and determines staffing needs.
  • Manages patient issues.
