Requirements

  • High School Diploma required.
  • Minimum of 3-5 years working in a medical office as a Medical Assistant.
  • Knowledge of clinic and company policies and procedures.
  • Knowledge of medical terminology and insurance practices.
  • Knowledge of Nextgen or EMA computer programs and applications.
  • Knowledge of CPT and ICD-10 coding.
  • Knowledge of managed care, Medicare, and Medicaid guidelines.
  • Skill in effective personnel management including training staff and delegating duties.
  • Skill in written and verbal communication.
  • Ability to work effectively as a team member with physicians and other staff.
  • Ability to respond timely to changing demands.
  • Ability to plan, organize, prioritize, and direct the work of others.
  • Ability to establish and effective working relationships with patients, employees, and the public.
  • Experience managing patient issues.

Nice To Haves

  • Certified Medical Assistant is preferred but not required.
  • Prior dermatology experience is preferred.
  • Some supervisory experience is preferred.
  • Prior experience interviewing candidates and determining staffing needs.

Responsibilities

  • Manage the back-office team for the assigned location, overseeing back-office flow and ensuring providers stay on schedule.
  • Assist the team on the floor as needed and train/cross-train core staff.
  • Ensure adherence to all policies and procedures, including instrument cleaning, sterilization, and COVID protocols.
  • Support the practice manager with back-office employee time off, scheduling adjustments, and coverage.
  • Coach and mentor the team to foster a strong partnership between back-office and front-office staff.
  • Maintain daily assignments and task responsibilities for the team weekly, posting them for clear expectations and ensuring staff rotation.
  • Ensure all prescription refills, EMA tasks, and voicemails are completed by the end of the day.
  • Monitor staff breaks and payroll system punches.
  • Communicate with physicians/providers and the front desk regarding patient scheduling, overrides, and add-ons (all walk-ins and overrides require manager and physician approval).
  • Manage triage and inbound/outbound calls.
  • Maintain CLIA portal for full compliance.
  • Partner with the Practice Manager on back-office inventory orders.
  • Partner with the Practice Manager on annual back-office staff reviews, including timely completion for new hires within 30, 60, and 90 days.
  • Conduct interviews and determine staffing needs.
  • Manage patient issues.
