About The Position

The Medical Administrative Assistant is an essential member of our team. They ensure smooth administrative operations while providing an impeccable patient experience in every interaction. Our receptionist is responsible for creating a welcoming, positive, and supportive environment for patients. They are the gatekeepers, setting the example of what patients can expect during their care journey at Flourish Research!

Requirements

  • Minimum education requirement of a High School Diploma
  • High level of integrity and accountability
  • Ability to maintain a professional and positive attitude
  • Excellent interpersonal, customer service, quality, and communication skills (written and oral)
  • Takes initiative, is a team player, and can adapt well to a changing environment
  • Strong decision-making skills and attention to detail

Nice To Haves

  • Medical office administrative experience is preferred
  • Medical assisting experience is a plus

Responsibilities

  • Support Director and members of the research team by working on various projects as requested and assigned
  • Attend the front desk for check in, communications, and other tasks
  • Answer phones and clinic appointment management, requiring interaction with both internal staff, patients and vendors
  • Prepare patients charts
  • Ensure exam rooms are ready and stocked throughout the day
  • Request and manage medical records requests
  • Place appointment reminders telephone calls
  • Assist in event planning
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Periodic pickup and delivery
  • Site supplies, shopping/procurement
  • Sorting and delivering mail
  • Manage invoices and receipts as well as patients’ reimbursement
  • Schedule maintenance as needed
  • Other clerical duties as assigned
