About The Position

The Materials Associate is responsible for the daily product inventory for Medical Network clinic locations. They are tasked with inventory ordering, receiving, stocking, and auditing. They collaborate with clinical operations, supervisors and managers to ensure appropriate PAR levels for consistent operational inventory. Additionally, they support seasonal forecasting efforts by gathering data, monitoring inventory, stocking and storage requirement.

Requirements

  • High School Diploma/GED
  • 2 years Experience in a hospital, ambulatory healthcare, inventory and ordering clinical supplies or other customer service-related field.

Responsibilities

  • Ensures inventory is available to fill clinical operations supply needs across multiple clinic sites.
  • Stocks exam rooms, procedure rooms, and supply nodes according to established standards and clinical workflows.
  • Receives, verifies, and distributes orders across multiple locations.
  • Audits rooms and storage areas to ensure compliance with policy, safety, and standard workflows.
  • Contributes to seasonal forecasting by proactively monitoring (e.g., flu season, COVID) needs.
  • Manages PAR levels and identifies opportunities to improve efficiency and reduce waste.
  • Collaborates with leadership to ensure alignment with budgetary goals.
  • Identifies opportunities for cost reduction on approved product substitutions and waste reduction.
  • Assists in creating templates and standardized stocking guides consistently across clinics.
  • Assists with onboarding new staff by educating them on supply systems and stocking standards.
  • Supports go-live activities for new providers, exam rooms, or service lines by setting up and auditing supplies.
  • Maintains point of contact for all supply and material needs between clinical operations.
  • Participates in quarterly audits of supply nodes and exam rooms to ensure compliance and readiness.
  • Ensures compliance with safety standards, regulatory requirements, and internal protocols.
  • Develops and refines stocking templates and workflows to support scalability across clinics.
