About The Position

Marketing Specialist supporting a global pharmaceutical seeking a business person to lead and manage their services and agency partners for supporting commercial and brand efforts. Working 4 days hybrid on site 8:30am-5pm (Monday - Friday). It is important to have familiarity with a financial system like Coupa (managing purchase orders, receiving invoices, reconciling expenses), a high level of proficiency in excel (maintaining dashboards, creating formulas, etc), comfort working with external agencies to ensure appropriate reconciliation reports are provided and pulling through the phasing into our internal documents.

Requirements

  • Excellent project management skills with the ability to handle multiple projects simultaneously to meet tight deadlines required
  • Excellent presentation and interpersonal skills with strong ability to communicate effectively
  • 2+ years of previous experience in a marketing/sales environment and/or medical communications or pharmaceutical industry experience a plus.
  • 1-2 years experience in managing production vendors/advertising agencies and knowledge of digital/print production preferred
  • Proficiency in Microsoft Word, Excel and PowerPoint
  • Familiarity with a financial system like Coupa (managing purchase orders, receiving invoices, reconciling expenses)

Responsibilities

  • Provide support as needed for budget tracking, reconciliation, and phasing including initiating purchase orders and processing/recording vendor invoices
  • Prepare and present monthly budget presentations to brand team including updating spend forecast
  • Key point of contact for both external vendors and internal stakeholders for the completion of commercial team contracts (from contract preparation to obtaining appropriate approvals)
  • Ownership of all revisions and finalization of contracts
  • Manage fulfillment house inventory including setting up new items into inventory, approving field orders, managing drop-shipments, and preparing inventory trend and low item reports to make recommendations on material re-orders
  • Controller in Fair Market Value (FMV) determination process (for HCP consultants) including pulling FMV rates and routing HCP consultant agreements for execution
  • Manage conference/convention schedule including registration, logistics, and booth material fulfillment
  • Manage the relationship between the brand teams and external vendors including working
