About The Position

This role involves managing the Brand Advertising & Promotion Budget, including tracking, reconciliation, and phasing. It requires initiating purchase orders and processing vendor invoices, as well as preparing and presenting monthly budget presentations with updated spend forecasts. A key responsibility is the contract review and approval process, acting as the main point of contact for external vendors and internal stakeholders for commercial team contracts, from preparation to finalization. The role also includes managing fulfillment house inventory, setting up new items, approving field orders, handling drop-shipments, and generating inventory reports to recommend re-orders. Additionally, the specialist will manage marketing projects and vendor relationships, including the Fair Market Value (FMV) determination process for HCP consultants and managing conference/convention logistics and booth material fulfillment.

Requirements

  • Excellent project management skills with the ability to handle multiple projects simultaneously to meet tight deadlines.
  • Excellent presentation and interpersonal skills with a strong ability to communicate effectively.
  • 2+ years of previous experience in a marketing/sales environment.
  • 1-2 years experience in managing production vendors/advertising agencies.
  • Proficiency in Microsoft Word, Excel and PowerPoint.
  • Bachelors Degree in Business Management or related field.

Nice To Haves

  • Medical communications or pharmaceutical industry experience is a plus.
  • Knowledge of digital/print production is preferred.

Responsibilities

  • Provide support for budget tracking, reconciliation, and phasing, including initiating purchase orders and processing vendor invoices.
  • Prepare and present monthly budget presentations to the brand team, including updating the spend forecast.
  • Serve as the key point of contact for external vendors and internal stakeholders for the completion of commercial team contracts.
  • Manage revisions and finalization of contracts.
  • Manage fulfillment house inventory, including setting up new items, approving field orders, managing drop-shipments, and preparing inventory reports.
  • Make recommendations on material re-orders based on inventory trends and low item reports.
  • Act as Controller in the Fair Market Value (FMV) determination process for HCP consultants.
  • Manage the conference/convention schedule, including registration, logistics, and booth material fulfillment.
  • Manage the relationship between brand teams and external vendors.
