About The Position

The Marketing & Sales Support Specialist provides cross-functional administrative, analytical, customer-facing, and operational support across Sales, Marketing, Customer Service, Warehouse, and EV Service Operations for both Warehouse Sales and Services, LLC and Better Planet, LLC. This role serves as a central coordination point between customers, sales, warehouse technicians, service operations, and inter-company stakeholders. The position supports service and sales execution, customer experience, technician scheduling, inventory coordination, and service and EV unit renewal and rebuild processes. Training will be provided on all our value propositions. The ideal candidate is highly organized, detail-oriented, proactive, comfortable working across multiple departments, and capable of managing competing priorities in a fast-paced environment.

Requirements

  • Previous experience in sales support, operations coordination, marketing administration, customer service, or similar roles preferred
  • Strong written and verbal communication skills
  • Proficiency with CRM systems (HubSpot), Microsoft Office Suite, ZoomInfo, and general office software
  • Strong organizational, multitasking, and time-management skills
  • Analytical mindset with comfort working with data and reporting tools
  • Ability and willingness to learn EV systems, parts, and renewal processes
  • Professional, reliable, and customer-focused approach

Responsibilities

  • Generate new leads through outbound outreach (calls, email, LinkedIn, direct mail)
  • Build and manage prospect lists using CRM and data tools
  • Qualify leads and identify opportunities
  • Maintain and update CRM (HubSpot)
  • Develop, document, and follow Sales and Marketing Standard Operating Procedures (SOPs) and Work Instructions (WIs)
  • Conduct market research, competitive analysis, and data mining using Google, AI tools, ZoomInfo, and other databases
  • Assist with development and testing of competitive value propositions
  • Schedule meetings for Field Service Advisors, Technician's and s personnel
  • Coordinate meetings and sales activities
  • Prepare quotes, proposals, and sales presentations
  • Issue customer quotes and follow up to support deal conversion
  • Enter and manage customer orders in internal systems
  • Execute structured follow-up systems to move deals forward
  • Train employees on sales and marketing processes, tools, and workflows
  • Support outside sales personnel with administrative and operational needs
  • Answer incoming sales calls and respond to customer emails
  • Serve as a primary point of contact for customer inquiries related to products, services, maintenance, and support
  • Act as a liaison between customers and internal teams (Sales, Warehouse, Service, and Operations)
  • Support inter-company coordination between Warehouse Sales and Services, LLC and Better Planet, LLC
  • Route issues to appropriate departments and ensure follow-through to resolution
  • Assist with scheduling technicians and coordinating work orders
  • Support tracking of inventory, parts, and EV unit availability
  • Develop working knowledge of EV units, components, and parts (training provided)
  • Assist with coordination of EV unit renewal and rebuild processes, including documentation and internal communication
  • Ensure service documentation, work orders, and inventory records are accurate and complete
  • Support development and maintenance of SOPs and WIs related to warehouse and service operations
  • Track and report on KPIs and campaign performance
  • Manage CRM reporting and generate sales, marketing, and operational reports
  • Analyze data to improve efficiency, customer experience, and sales outcomes
  • Support A/B testing of value propositions, marketing materials, and sales strategies
  • Use analytics to support leadership decision-making and process improvement
  • Answer phones and route calls appropriately
  • Maintain organized records, files, and documentation
  • Order operational supplies
  • Schedule service calls, shipments, and related activities
  • Assist with procurement and general office operations as needed
  • Train others on administrative and office processes
  • Open and close the office when required
