About The Position

The Marketing & Proposal Coordinator is responsible for managing the full proposal lifecycle, ensuring high-quality, compliant, and strategically aligned submissions. This role supports business development and client managers by coordinating proposal content, maintaining branding standards, and assisting in broader marketing initiatives.

Requirements

  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple deadlines in a fast-paced environment
  • Strong editing and document production capabilities
  • Understanding of proposal compliance requirements
  • Minimum of 3 years of related experience required
  • Knowledge and experience with Microsoft Office
  • Knowledge and experience with Adobe InDesign
  • Knowledge and experience with Adobe Photoshop (optional)
  • Knowledge and experience with Adobe Illustrator (optional)
  • Knowledge and experience with AI tools for graphics/content such as ChatGPT or Adobe Firefly

Nice To Haves

  • Bachelor's degree in Marketing, Communications, Business, or related field preferred

Responsibilities

  • Manages the proposal process from receipt to submittal
  • Develops proposal schedules, outlines, and compliance matrices
  • Edits and refines content for clarity, consistency, and tone
  • Ensures compliance with RFP/RFQ instructions
  • Applies JR branding, graphics, and formatting
  • Coordinates resumes, project sheets, and firm information
  • Manages final production and submission (PDFs, portals, hard copies)
  • Advises Business Development and Client Managers on proposal structure and messaging
  • Maintains and updates proposal templates and marketing materials
  • Tracks proposal metrics (submittals, wins, hit rates)
  • Supports SOQs, brochures, presentations, and interviews
  • Assists with booths at conferences
  • Protects JR Engineering from non-compliant or rushed submissions
  • Performs other related duties as assigned
