We are seeking a highly organized, systems-minded Marketing Operations Specialist to support the execution, coordination, and operational efficiency of the marketing department. This role plays a critical part in ensuring projects, campaigns, workflows, and systems operate smoothly across the organization. The ideal candidate thrives in a fast-paced environment, enjoys bringing structure to complex workflows, and has a strong attention to detail. This position supports marketing operations through project coordination, system administration, process management, reporting support, and cross-functional collaboration. The Marketing Operations Specialist will help maintain consistency across marketing systems and workflows while supporting the department’s growing operational, automation, and enablement initiatives designed to improve operational efficiency, workflow scalability, and cross-functional coordination across the marketing organization.

Responsibilities

  • Manage and maintain marketing workflows and project tracking systems within Monday.com and related operational platforms.
  • Ensure marketing requests are properly submitted, scoped, assigned, and tracked through completion.
  • Coordinate timelines, approvals, deliverables, and dependencies across internal teams.
  • Help improve workflow visibility, communication, and project accountability across the department.
  • Support day-to-day operational administration of marketing systems including HubSpot, Mailshake, Monday.com, and related tools.
  • Assist with email list management, segmentation, deliverability monitoring, and campaign QA.
  • Support CRM data hygiene, spreadsheet cleanup, imports/exports, and database organization.
  • Assist in maintaining UTM standards, tracking consistency, and campaign tagging accuracy.
  • Maintain operational documentation, SOPs, templates, and process guides.
  • Identify workflow inefficiencies and recommend operational improvements.
  • Help establish and maintain consistent naming conventions, intake processes, documentation standards, and organizational systems.
  • Support implementation, documentation, and adoption of operational tools, automations, and AI-enabled workflows that improve team efficiency and scalability.
  • Assist in maintaining operational consistency across recurring marketing initiatives.
  • Assist with marketing budget tracking, invoice processing, credit card reconciliation, and marketing systems and vendor coordination.
  • Assist in organizing operational and marketing performance data to support reporting visibility, workflow accountability, and operational decision-making.
  • Help maintain organized records of campaigns, assets, vendor relationships, and operational processes.
  • Work closely with teams to support successful execution of marketing initiatives.
  • Serve as a reliable operational resource to help teams stay aligned, informed, and organized.
  • Support internal enablement initiatives including operational communications.
