About The Position

The Manager Proposal Services is responsible for supporting research activity by providing supervision and training oversight to the RSO Research Grants Specialist team and the institution at-large while providing proposal support as needed. This position supports the Associate Director by disseminating job critical information and resources, developing, and implementing training programs, proposing process improvements to enhance efficiencies, promoting collaboration with cross-functional teams, and facilitating proposal review and submission. Additionally, Manager will be required to maintain a moderate proposal workload for select faculty or divisions.

Requirements

  • A level of knowledge acquired through a bachelor’s degree and 5 years of progressive experience in Research Administration and Sponsored Programs or 9 years relevant experience.
  • Extensive knowledge of Uniform Guidance, NIH Grant Policy Statement, and other federal regulations required.
  • Knowledge of Grants.gov and other federal systems is required.
  • Demonstrated mentoring and training skills for various audiences, from faculty to research administrators.
  • Interpersonal skills necessary to provide effective leadership for team personnel, to a variety of internal and external contacts and to interact effectively with physicians, PI’s, and other medical center personnel.
  • Ability to establish priorities and react to many requests and needs.
  • Proficient in Microsoft office and related software tools; prefer experience training and using electronic research administration systems.

Nice To Haves

  • Supervisory experience is preferred.
  • CRA, CPRA, or CFRA preferred or expectation is that the incumbent will sit for one of the certification exams.

Responsibilities

  • Manages the Proposal Support team including the direct supervision of Senior Sponsored Programs Administrators.
  • Identifies continue process improvement initiatives and maintains standard operating procedures for proposal reviews and submissions and related processes.
  • Works with the Associate Director to plan the professional development needs for the Proposal Support team. Responsible for onboarding, training and mentoring team members.
  • Responsible for actively monitoring proposal deadlines and distributions of workloads for the Proposal Support team, and for ensuring adequate support is in place during high volume proposal submission periods including NIH cycle deadlines.
  • May manage a discrete workload of PIs or grants based on complexity and/or staffing needs.
  • Responsible for developing onboarding materials and other forms of training documentation as needed to address knowledge gaps and encourage employee growth and development.
  • Supports the Director in reviewing the organizational training needs for a variety of constituents (Faculty, Staff, other RA Teams), develops and conducts training as assigned.
  • Shares knowledge and expertise on matters pertaining to the interpretation of Federal, State and Institutional policies, procedures and guidelines within OSP and with faculty and divisions.
  • Responsible for ensuring final pre-submission compliance checklists and standards for federal and non-federal grant proposals.
  • Identifies and promotes ways to streamline efficiencies through grant management tools including the Lurie’s research administration software system and DocuSign.
  • Partners with the Manager of Award Support to ensure efficient processes and handoffs exist between both teams and to ensure the faculty and divisions receive consistent support and communications.
  • Serve as a liaison with the other research support offices to ensure consistency in interpretation of sponsor guidelines, research compliance and processes.
  • Serves as the backup institutional official for proposal and related submissions in the absence of the Associate Director and Director, OSP
  • Serves as backup for Senior Sponsored Programs Administrators to submit proposals during absences or heavy volumes
  • Responsible for special projects as requested by the Associate Director or Director, OSP.
