About The Position

Plymouth State University seeks a Manager of Custodial Operations-Facilities to join the Facility Services leadership team. Primary functions are to manage all aspects of routine and non-routine custodial operations at Plymouth State inclusive of the supervision and leadership of approximately 10 full time staff and contracted individuals, inspection and evaluation of campus facilities to insure high standards of cleanliness, sanitation and safety are consistently maintained and meet established industry standards and governmental regulations, planning and developing long and short range departmental programs to insure evolution and improvements in services and frequencies, coordinate and meet with various campus customers, scheduling of events, purchasing of supplies and the indirect management of department budget(s) and spending.

Requirements

  • Associate's degree and five years of related custodial experience, including at least two years in a supervisory capacity, or high school graduation and seven years of custodial experience with two years supervisory.
  • Knowledge of state-of-the-art cleaning materials, equipment, methods and practices.
  • Demonstrated ability to lead a team.
  • Supervisory skills with ability to manage personnel with special needs.
  • Well-developed communications and human relations skills.
  • Experience with budgets and tracking expenses.
  • Proficient in the use of Windows-based office software, including but not limited to Microsoft Office, Word, Excel, PowerPoint, and Outlook.
  • Sufficient strength and physical dexterity to perform duties and responsibilities of the job, including heavy work.
  • Ability to wear and use personal protective equipment if required.
  • Must possess a valid driver’s license.

Responsibilities

  • Plan, coordinate, and direct Building Service Workers (BSWs)/Custodians, Lead BSW's, supervisors, and a staff of approximately 10 FTEs and contracted service individuals in all aspects of custodial operations for all campus facilities efficiently and economically.
  • Supervise, develop job descriptions, interview, hire, terminate, promote, train, and schedule custodial operations.
  • Guide and give training and assistance to BSWs, Group Leaders, and supervisors in campus and System policy, operating procedures, employee/management relations, etc., to develop their potential and effectiveness.
  • Assign specific duties to BSWs, Group Leaders, Utility Workers, and Supervisors and hold them accountable for satisfactory performance of their duties.
  • Work with HR to resolve employee issues and concerns.
  • Perform introductory and annual evaluations of appropriate staff.
  • Conduct regular staff meetings.
  • Motivate and lead the team.
  • Direct and maintain a systematized maintenance cleaning work-loading program which includes the utilization of established frequencies, time standards, and methods (APPA Custodial Guidelines).
  • Plan and develop long and short-range departmental programs to ensure evolution and improvements in services and frequencies.
  • Research new processes and methods in the industry for efficiency and possible adoption.
  • Coordinate and meet with various campus customers to coordinate activities of assigned functions.
  • Meet with other campus departments and customers as necessary, assist in problem resolution of schedule changes, and communicate effectively on the department's needs.
  • Manage Building Services budgets through the use of spreadsheets and database applications.
  • Administer equipment and supply budgets and the associated inventory and inventory controls that go with these budgets.
  • Responsible for contract management of the University’s residential and academic building pest control program.
  • Investigate complaints regarding lack of custodial care, performance deficiencies, conduct, building safety, etc.
  • Inspect and evaluate the condition of campus facilities to ensure that high standards of cleanliness, sanitation, and safety are consistently maintained in all areas of responsibility and proactively avoid potential problems.
  • Purchase, write bid specifications, qualify bidders for equipment, installations, supplies, and negotiate change orders, etc., for all areas of responsibility.
  • Research products and services, meet with vendors, review bulk purchasing opportunities, equipment pricing, and buying, and plan preventative maintenance expenditures.
  • Service Special Events needs for all campus special events, including custodial site preparation and post event clean-up.
  • Coordinate summer custodial operations and conference schedules in conjunction with Residential Life and Events & Conferencing for summer conferences, summer housing and campus events.
  • Determine the need for special, non-routine custodial activities such as carpet shampooing, refinishing of floors, pest control, etc., and plan for the completion of these activities in accordance with building occupancy as required.
  • Manage and oversee Physical Plant Work Order System within BSW Operations to ensure proper work loading efficiencies and scheduled needs are being met and tracked.
  • Work collaboratively with Facilities Business Operations to manage custodial inventory to ensure proper inventory levels are maintained and recorded.
  • Participate in year-end inventory reconciliation.
  • In collaboration with the Facilities Projects team, responsible for all academic/administrative floor coverings and finishes. This includes daily care & maintenance, specifying replacement coverings, purchasing, and coordinating installation.
  • Overlap other areas within Facility Services, providing backup, project management, and other duties as assigned.
