About The Position

The Manager, Annual Giving supports the objectives of the museum’s Luminary and Woman’s Board programs through the production of meetings, communications, and events. The position reports to the Assistant Director, Annual Giving and supports the department's goals, serving as the primary liaison to the Woman’s Board. In collaboration with teams across Engagement and under the supervision of the Director of Annual Giving, this position tracks measurable goals and objectives for volunteer leadership, programming, and membership as prioritized by the department. Under the guidance of the Assistant Director, the Manager supports the objectives of the museum’s Premium and Luminary program and stewards the activity of the Woman’s Board.

Requirements

  • Bachelor’s degree or equivalent education and experience.
  • 3+ years track record of progressively responsible experience in development, membership, marketing, events, or an analogous field.
  • Proficiency in Word, Excel, Power Point required

  • Experience working with donors to produce events preferred.
  • Skills in project management, organization, problem-solving, and communication preferred.
  • Strong work ethic, evidence of good judgment, detail-oriented.
  • Ability to work on multiple projects simultaneously, meet short deadlines, and work occasional evenings and weekends as required.

Responsibilities

  • Coordinates program, meeting, tour and event logistics to achieve financial and non-financial goals.
  • Collaborates across departments to ensure continuity of guest experience across museum events.
  • Supports building, maintaining, and regularly updating Annual Giving reports, donor records, and outcome data used to measure program success and other defined goals against established metrics.
  • Fully utilize Raiser’s Edge and all available tools.
  • Ability to handle conflicting demands and requests creatively and quickly.
  • Draft, circulate, and edit written content for accuracy, writing quality, and organizational messaging. Adheres to the museum’s editorial and design style guides, ensures consistency in messaging and brand standards, incorporates cross-departmental feedback to finalize print and digital communications.
  • Ensures regular communication with volunteer leadership and members/donors. Provides general inquiry support to prospective members. Coordinates and produces donor stewardship projects as directed, including mailing projects and other donor engagement initiatives.
  • Processes event income, receipts, and acknowledgements. Pays and reconciles all expenses in a timely manner adherence to Art Institute accounting policies and procedures.
  • Supports the creation of event-related budgets. With the guidance of supervisor(s), monitors budgets and tracks expenses for events to ensure financial success.
  • In collaboration with Advancement Operations and Donor Stewardship ensures prompt and accurate acknowledgement to individual donors and event sponsors.
  • With the guidance of supervisor(s), supports the alignment of Woman’s Board leadership with the priorities of the Art Institute of Chicago; provides guidance on goals, board function, and leadership responsibilities, as directed by supervisor(s).
  • Coordinates various committees as organized by the Woman’s Board.
  • Produces accurate documentation of Woman’s Board member participation; collaborates with Advancement Operations to ensure accurate database records.
  • Organizes, maintains, and updates all membership records and guides stewardship of members.
  • Prepares financial reports on member revenue and operating funds as appropriate for stakeholder leadership, ensuring classes of information remain confidential as directed.
  • Participates in team meetings, regular check-ins with supervisor(s), and represents the Annual Giving in intra-departmental meetings or committees.
  • Collaborates in the production of departmental documentation, training, and creation of shared resources.
  • Supports production of peers events and programs; makes requests to peers for support of events as needed.
  • Develops competitive understanding of other similar giving programs in Chicago, nationally, and internationally.
  • Performs other duties and special projects as required.
