About The Position

This position is open to internal applicants only. The application deadline is Monday, August 10th at 12:00 PM. This position is the Management Supervisor in the Clerk of Court’s Office and is responsible for assisting the Clerk of Court in office administration and is in charge in absence of the Clerk of Court. The work involves assisting in the court operations support and trial activities coordination. The position reports to the Clerk of Court and exercises supervision over the Training Supervisor/Assistant Public Administrator, Court Clerks, Courtroom Clerks and Accounting Technician positions.

Requirements

  • Knowledge of the Montana Codes Annotated, legal and court systems procedures, government requirements, supervisory skills, human resources, computer skills and customer service.
  • Ability to apply knowledge of standardized rules and procedures to a variety of unrelated assignments, to interpret conditions, and examine and interpret complex legal documents to determine whether legal requirements have been met.
  • Strong human resources, interpersonal, and customer service skills.
  • Communicate effectively verbally and in writing.
  • Comfortable with public speaking.
  • Accounting/budget skills.
  • Proficient in Microsoft Word and Judicial Case Management.

Responsibilities

  • Serves as and is in charge in the Clerk of Court’s absence.
  • Handles the scheduling and distribution of work on a daily basis.
  • Prepares required reports on a daily basis.
  • Attends meetings for the Clerk of Court.
  • Assists with balancing funds on a daily basis.
  • Is responsible for reporting and requesting service for computer/equipment problems.
  • Assists with training Court Clerks when required.
  • Will work closely with the Training Supervisor to achieve the completion and continual updating of the procedure manual.
  • Responds to inquiries or referrals from Department personnel, court representatives, attorneys, and members of the public.
  • Maintains confidentiality according to established guidelines and coordinates with involved or affected parties to resolve problematic issues.
  • Receives, analyzes, and files various court and legal filings, including proposed orders, motions to the court, and other documents.
  • Collects and records fees, if required.
  • Coordinates mail proceedings to ensure timely delivery of correspondence and materials to appropriate staff, including express shipments, registered mailings, electronic messaging, and other specialized delivery services.
  • Prioritizes and processes or distributes filings and documents according to upcoming trial dates, legally mandated response times, individual judicial preferences, established office procedures and policies, and other factors.
  • Maintains electronic and manual records management and docketing systems with new and updated case and file information.
  • Researches, processes, issues, and records marriage licenses, and collects appropriate fees.
  • Coordinates and establishes trial juries by contacting potential jurors, issuing notice of appearance, attending voir dire , monitoring and recording excused and remaining jurors, and administering official oaths.
  • Receives, records, and maintains accessibility to all entered exhibits, their status, number, and location.
  • Reads final verdict of jurors and sequentially polls each juror to establish consistency and authenticity of the issued verdict.
  • Generates detailed minutes to document all trial events, motions, witnesses, appearances, etc.
  • Performs a variety of other duties assigned by the supervisor.
  • This includes participating in special projects, occasionally filling in for other employees, participating in ongoing training, and a variety of other functions as needed.
  • If the County Commission proclaims a local emergency due to an actual or threatening disaster such as an earthquake, fire, riot, flood, etc., County employees may be required to provide services during the emergency and for a subsequent period of assessment and recovery.
