The Maintenance Scheduler is responsible for coordinating, planning, and executing maintenance scheduling activities using the CMMS (Maximo). This role owns daily and weekly scheduling, resource levelling, and schedule stabilization to ensure safe, compliant, and timely execution of maintenance work. The Scheduler serves as a key operational partner to Facilities Management, Engineering, and technical teams, supporting reliability, compliance, and performance across JLL‑managed facilities. Requirements

  • 4+ years of experience in maintenance scheduling, planning, or facilities operations
  • Strong proficiency with CMMS systems (Maximo required)
  • Working knowledge of planning and scheduling methodologies
  • Solid understanding of building systems, maintenance practices, and equipment reliability
  • Strong analytical, organizational, and prioritization skills
  • Excellent verbal and written communication skills
  • Proven ability to operate independently in a fast‑paced, high‑expectation environment.
  • Strong internal and external customer service orientation
  • Candidates must be authorized to work in the United States without sponsorship.

Nice To Haves

  • Advanced CMMS experience, including CIM Visual Planner or similar tools.
  • Experience working in regulated environments (GxP / GMP)
  • Experience coordinating capital projects or complex multi‑trade maintenance work.
  • Advanced Excel or data analysis skills for schedule and performance reporting

Responsibilities

  • Own daily and weekly scheduling activities in the CMMS to meet contractual service and performance requirements.
  • Independently manage work prioritization, sequencing, and resource allocation based on urgency, risk, manpower, materials, and operational constraints.
  • Work closely with non‑JLL technical support teams, JLL technical staff, Chief Engineers, Planners, and Facilities Management.
  • Proactively manage schedule break‑ins, priority changes, and unplanned work with appropriate documentation and communication.
  • Coordinate central craft and cross‑module labor for multi‑trade jobs.
  • Visiting job sites as required to validate scope, execution readiness, and work order clarity.
  • Communicate directly with work order requesters and stakeholders to ensure alignment and execution readiness.
  • Serve as a subject‑matter expert for Maximo scheduling and work order management.
  • Ensure work orders are complete, accurate, and audit‑ready, including job plans, asset data, priorities, and closure information.
  • Maintain and improve maintenance libraries and standard job plans.
  • Partner with technicians and planners to reinforce CMMS data quality and right‑first‑time practices.
  • Identify trends, gaps, or repeat issues impacting schedule compliance and execution.
  • Identify safety hazards during scheduling and planning activities and incorporate mitigation plans.
  • Ensure permit and safety requirements and coordinated during work planning.
  • Support Facilities Management and Engineering leadership in ensuring compliance with regulatory requirements, site SOPs, and client standards.
  • Proactively communicate safety or compliance risks tied to scheduled work.
  • Assist with safety training coordination and continuous improvement initiatives.
  • Support scheduling for infrastructure upgrades, equipment replacements, and building modifications.
  • Coordinate complex, multi‑trade, and vendor‑executed work with minimal oversight.
  • Ensure projects are scheduled, executed, and closed out in accordance with industry’s best practices and client expectations.
  • Assist Facilities Management with backlog health, schedule performance, and workload forecasting.
  • Provide input and support for daily, weekly, monthly, annual, and special project reporting.
  • Monitor and report on schedule compliance, backlog trends, and maintenance performance indicators.
  • Support root cause analysis and corrective actions for schedule non‑compliance.
  • Participate in on‑call rotation and provide after‑hours, weekend, or holiday support as required.
