About The Position

This position is more than a mailroom job—it is a campus service position. The Mailroom Assistant is often one of the first people students, faculty, and staff interact with regarding mail and package services and serves as a welcoming resource for the college community. Success in this role requires someone who enjoys helping others, demonstrates excellent customer service, works independently while collaborating effectively with others, and understands the importance of supporting students, faculty, staff, and the mission of Southeastern Community College. This position provides central mail services for the institution and college dorm residents. Serving as shipping/receiving clerk and processing of all mail (usps/ups/fedex, etc), including processing bulk mail, making on-campus deliveries and delivery of out-going mail to the West Burlington post office at end of shift. Duties include, but are not limited to, the operation and setup of mailing equipment; tracking and delivery of mail, packages, and supply orders; coordination with vendors for shipping and pickup services; processing financial and shipping records; supporting dormitory mail services; preparing bulk mailings; and maintaining adequate supplies for mailroom equipment. Experience operating a forklift is beneficial but not required. The Mailroom Assistant also provides support to the Print Shop Supervisor by assisting with the operation of copy equipment, collating, binding, and other print services as needed.

Requirements

  • High School diploma/equivalent required
  • Excellent interpersonal, customer service, and communication skills (listening, speaking, and writing) with the ability to interact professionally and courteously with students, faculty, staff, vendors, and members of the public.
  • Knowledge of computer software application specifically Microsoft Office programs with competency in Basic Word & Excel; ability to learn USPS/Pitney Bowes bulk mailing verification software system.
  • Keyboarding proficiency and strong organization skills are required.
  • Ability to effectively manage time, prioritize responsibilities, and adapt to changing priorities despite frequent interruptions.
  • Ability and willingness to work as part of a team while also performing duties independently.
  • Regular, dependable attendance and punctuality are essential due to the daily operational responsibilities of the position.
  • Must maintain a positive and professional demeanor and have the temperament to handle varied, changing, and occasionally stressful situations while providing excellent customer service.
  • Ability to work independently, perceive priorities, meet deadlines, and demonstrate initiative and self-motivation.
  • Maintain a valid driver's license.

Nice To Haves

  • AA degree or AAS in Office Administration preferred.
  • Experience operating a forklift is beneficial but not required.

Responsibilities

  • Serve as a welcoming and helpful resource for students, faculty, staff, and visitors by providing accurate information, timely assistance, and professional customer service.
  • Demonstrate initiative in identifying and resolving routine operational issues and communicating concerns to the supervisor when appropriate.
  • Keep Print Shop Supervisor informed on all relevant matters in areas of responsibility.
  • Perform all duties associated with mailroom. Sorting mail, tracking packages and postage use, delivering campus packages and mail to post office; processing labels for package delivery and pickups, processing bulk mail verifications, processing mail for employees, operating mailroom equipment, ensuring mailroom security.
  • Maintain accurate records related to student mailboxes, dormitory keys, package tracking, and postage expenditures.
  • Maintain accounts with UPS/FEDEX for creating shipping labels and pickups.
  • Fulfilling supplies for postage machine and making service calls when needed.
  • Performing basic print shop duties during the Print Shop Supervisor's absence as needed.
  • Create and respond to telephone and email inquiries associated with mailroom and print shop operations, including communicating shipment and package status when appropriate.
  • Work cooperatively with students, faculty, staff, vendors, and the general public.
  • Receive instructions and complete tasks in a timely manner.
  • Frequently lifting and carrying up to 50 lbs. and being able to walk across campus frequently.
  • Other duties as assigned.
